Job Summary
The Patient Access & Pre-Access Supervisor organizes and coordinates the activities of assigned staff to ensure safe, effective, and appropriate work in a fiscally responsible manner. The role handles and resolves problems related to the area of assignment, maintains a working knowledge of functions in that area, and collaborates with the patient access manager to develop and coach staff, fostering optimal performance.
Responsibilities also include conducting and overseeing orientation and training of all Patient Access staff, performing essential Revenue Cycle tasks to ensure compliance and excellent customer service, and assisting the patient access manager with day‑to‑day operations.
- Coordinate all registration duties with direct and indirect reporting employees, ensuring daily completion of registration and pre‑registration tasks and providing staff training.
- Provide and review reporting to track department performance in key metrics (point of service, wait times, overtime, productivity, etc.) on a daily, weekly, monthly, quarterly, or annual basis as requested.
- Assign and coordinate staff schedules, including rotation, time‑off, and call‑offs, in accordance with organizational policies to minimize overtime while maximizing productivity.
- Monitor and track the upfront collection process, set performance goals, and provide coaching and corrective action as appropriate.
- Participate in on‑call rotation (days, nights, weekends), offering administrative and educational guidance to staff via telephone and filling in for call‑offs or unexpected volume when necessary.
- Assist with developing department processes and procedures, conduct staff training, education, and development, and perform audits to ensure acceptable performance with ongoing coaching.
- Serve as a resource for staff and ancillary departments, promoting excellent customer service and holding self and others accountable for behavior standards.
- Manage projects related to implementing, tracking, and changing processes, reporting routinely to Patient Access Leadership.
- Participate in daily facility activities as assigned, gather statistical information, and assist with staff evaluations and time/attendance system maintenance.
- Attend facility meetings to ensure process alignment and effective communication between clinical and patient access teams.
- Demonstrate advanced usage of AI and manage teams using AI to improve processes and technology, including exploration, experimentation, and application of AI.
- Certified Healthcare Access Management (CHAM)
- Certified Revenue Cycle Representative (CRCR)
1 to 3 years of experience.
Preferred Knowledge,Skills and Abilities
- Associate degree (2 years) or Bachelor’s Degree (4 years)
- 2–3 years of supervisory experience in healthcare or a business field
- Ability to lead and direct others, strong analytical skills, and working knowledge of Microsoft Office
- Knowledge of registration, insurance, scheduling, verification, and hospital billing processes
- Demonstrated advanced usage of AI and management of teams using AI to drive process and technological improvements, including exploration, experimentation, and application of AI
