Amentum is seeking an Administrative Support Specialist in Springfield, VA in support of a Department of War (DoW) client. In this role, you will be responsible for providing a wide range of administrative services, including preparing reports, spreadsheets, presentations, correspondence, handling information requests, planning meetings and visitor escorts, tracking travel requirements, and maintaining calendars and schedules. You will also provide guidance and quality control for customer administrative functions and processes and support recurring customer meetings.

A successful candidate will have strong communication skills, both written and verbal, and be well-organized and task oriented.

Responsibilities:

* Prepare and maintain all customer correspondence, communications, reports, and briefings related to the office.

* Utilize SharePoint platform to manage customer travel approval requests, compile and produce weekly activity reports, manage process workflow tasks, and maintain organization rosters.

* Support the management of the customer SharePoint portal and day-to-day operational support of site collections and subsites.

* Plan, prioritize, and schedule facility meetings, appointments, and management reviews for senior leaders and staff.

* Maintain administrative records and the filing system for the office.

* Organize, streamline, and oversee the onboarding process for all new personnel including DoW government, active duty, and contractors.

* Facilitate the establishment of IT network accounts and issuance of Common Access Cards (CAC) for incoming personnel.

* Manage, prepare, receive, and maintain inventory of customer office supply orders. Research online government-sponsored suppliers for the best pricing of materials and provide administrative material support requirements to the designated customer purchase authority.

* Assist with the shipping and receiving of other materials and supplies at the customer facility.

* Process, schedule, deliver, and pickup Post Office or Federal Express parcels; local travel to and from the Post Office will be on at least a weekly basis.

* Perform routine facility security escort as tasked to include screening visitors for prohibited items, overseeing badge processes, and helping account for on-site personnel.

* Provide backup support to the contractor security admin team as required.

* Assist security with the training of incoming personnel.

* Maintain records and inventory of all facility badges and keys/codes.

* Assist in the development and writing of security guidelines, admin processes, and standard operating procedures (SOP).

Minimum Qualifications:

* Must have an Active Top Secret with SCI eligibility US Government Clearance.

Note:

US Citizenship is required to maintain a Top-Secret Clearance.

* 2 or more years of documented experience performing tasks as described; general administration and accounting skills.

* Experience handling classified material and working in a secure facility.

* Intermediate or advanced-level proficiency in the use of Microsoft 365 applications (Word, Excel, PowerPoint, Outlook, etc.), including the ability to produce documents and presentations of all kinds using word processing, spreadsheet, and presentation software tools.

* SharePoint Power User:
Comprehensive understanding and knowledge of content management, including but not limited to, file sharing, record management, document management, content, design, format, and workflows, and possesses the required skills to build and edit them easily.

* Strong oral and written communication skills.

* Possesses strong attention to detail and organizational skills.

* Excellent interpersonal skills and ability to work both independently and in a team/collaborative environment.

Preferred Qualifications:

* 4 or more years of related experience.

* Experience working in/with the military is beneficial.

* College degree or certification related to this field.

Other Requirements:

* This is a non-remote, full-time on-site position.

* Some after-hours or short-term shift work may be required to support urgent customer needs, including weekends and holidays.

* Must be able to sit for extended periods of time working at a desk and to walk/stand for extended periods of time to escort personnel, as necessary.

* Must be able to lift various sizes of materials and equipment (up to 40 lbs).

* Regular local travel may be required (0-15%).

Service Contract Act (SCA) Compensation & Benefits:

This is an hourly, overtime-eligible position that falls under the Service Contract Act (SCA). In accordance with the Health and Welfare provisions of the SCA, and in addition to your base hourly rate, you may be eligible to receive an additional health and welfare payment for each hour you work to ensure compliance with the minimums set forth by the act.

The amount you are entitled to receive will vary depending upon the fringe benefits you select now and in the future.
