Duties Include:
Provide office-levelstaffandtechnicalsupport,includingbutnotlimitedto:
- Maintainingofficeleadership/seniorpersonnelschedulesandcalendars,and answering office leadership phones
- Coordinatingeventsandmeetings,toincludeschedulingfacilities,supportingagenda development,assistingevent/group coordinators, and supporting the overall event/meeting execution
- Creatingandmaintaininghardcopyandsoftcopyfilesinaccordancewithapplicable records management policies and standards
- Maintainingofficeorganizationalcharts,recallrosters,andemergencycontactinformation
- Coordinatingandmaintainingofficeleadership/seniorpersonneltravelplans,schedules andexpensereportsusing
NGA’sofficialtravelandtrackersystems(currently
Defense Travel System (DTS) and Management and Execution Tracker (MET)) - Participatinginscheduledstaffandworkinggroupmeetings
Providewrittenandverbalcommunicationsupporttovariousaudiences,includingbutnot limited to:
- Creating,reviewing,oreditingincomingandoutgoingcorrespondence(e.g.,NGA official documents, policies, memorandums, staff packages, standard operating procedures (SOP), weeklyactivityreports, white papers, meeting minutes, talking points) for currency, relevance, accuracy, content, grammar, spelling, and quality
- Articulatinginformationinanaccurate,clear,concise,well-organized,andtimelymanner, and tailoringthis information tothe stakeholder’s level of understanding
Applylogic,critical thinking,analysis,and problem-solving skills,toinclude:
- Researching and analyzing issues rooted in existing laws, policies, and mission responsibilitiestoidentifyinconsistenciesandanomaliesthatmayplayarolein
SI’sadministration - Contributingtointernalofficeprocessand/orpolicydevelopmentandclarificationto support mission objectives
- Analyzingexistingofficeprocessestoidentifygaps,supportingthedesignofnew processes, documenting improvements, and supporting the implementation of improvements to drive efficiency and effectiveness
Applyknowledgeandunderstandingofcomplexissues,policies,andorganizationalobjectivesto support mission execution
- Draftingpolicies(e.g.,directives,instructions,manuals,SOPs,forinternalandexternalstakeholders
- Managingsecuritypolicyarchitectureandprioritizingtaskstoefficientlyobtain finalized staff packages for senior leadership and staff review
- Supporting
NGA’sForms
Management,toincludeupdatingpolicyandagencycorrespondence - Tracking internal and external taskers/actions to thorough,professional and on-time completion,toincludecoordinating/determiningappropriatenessofresponses,takingappropriateactiontoensureresponsesareprovidedbytheduedate,and coordinating with internal and external action officers
- ManagingelectronictrackingandprocessingsystemsattheNGAandSIlevels
- Supportingspecialprojectstoensuretimelydeliveryofproductsandservicestomeet master schedules and program milestones
Required/Desired Skillsand Experience :
- Demonstratedexperienceworkingwithexecutive-levelclientsin
IC,NGA,DoDor Federal government - Demonstratedexperienceassessingmetricsanddatatosupportdecisionmaking processes related to strategic planning
- Demonstratedexperienceutilizing
MSOffice
Suite(MSWord,Excel,PowerPoint,Outlook) - Demonstratedability to work with and adapt to personnel at all levels, dealing with highvisibilitysituationsandworkingeffectivelyunderthepressureofrigiddeadlines
- Demonstratedexperienceleveraginginterpersonalandcustomerserviceskillsto resolve or implement innovative solutions without direct supervision
- Demonstratedexperiencemanagingandschedulingexecutive-leveltravelusing applicable, corporate tools (e.g., DTS, MET)
- Demonstratedexperienceutilizing Human Capital Management tools (e.g.People Soft),collaboration tools(e.g.,SharePoint),and/ortaskermanagementtools (e.g., NGACentral Electronic Routing and Tasking System (NCERTS)
- Demonstratedexperiencepresentingoralandwrittencommunicationstodiverseaudiences
