Overview
We are seeking a detail‑oriented Records & Invoicing Data Specialist to support construction, paving, invoicing, and records management activities. This role focuses on processing work requests, validating construction‑related documentation, and ensuring accurate data entry within work management systems. The ideal candidate thrives in a fast‑paced environment and demonstrates strong analytical, documentation review, and communication skills.
This position offers a hybrid work schedule
, working onsite in the Springfield, VA office Tuesday – Thursday.
Per our client contract, candidates must be US Citizens or Green Card Holders.
Responsibilities- Process and manage Work Requests (WRs) across construction, maintenance, and paving projects.
- Review, verify, and approve pay items and invoices against supporting contractor documentation.
- Perform quality control on field notes, drawings, and construction‑related records.
- Enter, update, and maintain accurate data in work management systems (e.g., WR creation, as‑builts, closures).
- Research discrepancies and interpret construction documents to support project and invoicing accuracy.
- Support work order close‑outs, reporting corrections, and invoice processing workflows.
- Collaborate with internal teams and external partners on construction, paving, and permitting activities.
- Assist with close‑out meetings and occasional off‑site document processing as needed.
- Other duties as assigned.
- 2–5 years of relevant experience in construction support, invoicing, or records/data management.
- Proficiency in Microsoft Excel and Microsoft Office Suite.
- Experience processing invoices and reviewing supporting documentation.
- Ability to read and interpret construction drawings and related materials.
- Strong written communication and documentation skills.
- High attention to detail with strong organizational and analytical abilities.
- Experience supporting or working on construction projects.
- Familiarity with quality assurance (QA) processes.
- Experience with work management or asset tracking systems.
