Position Summary:
The Administrative Clerk III provides comprehensive, daily administrative, strategic, and operational coordination support to the TSA REMD Director, Deputy Director, and branch managers. Operating at a senior specialist level, this role extends far beyond standard clerical duties to include the proactive shaping of federal communications, data analysis, cross-functional project coordination, and policy documentation. This position is critical to ensuring seamless collaboration across the Direct Lease Branch (DLB), Facilities and Infrastructure Branch (FAIB), Workplace Management Branch (WMB), and Field Services Branch (FSB).
Key Responsibilities (Strategic Planning & Administrative Support
- Task 4.A):
- Executive Communications & Briefings: Develop sophisticated internal communications, talking points, and briefing materials for leadership regarding leasing, planning, and construction progress. Draft testimony, fact sheets, promotional materials, and speeches.
- Mailbox & Task Management: Actively manage the REMD Tasking Mailbox. Triage, coordinate, and delegate appropriate responses, maintaining highly organized electronic records of all deliverables.
- Risk & Process Management: Design and maintain the REMD Risk Register by conducting expert elicitation sessions with Subject Matter Experts (SMEs). Develop, document, and update standard operating procedures (SOPs) for front office functions.
- Meeting & Event Facilitation: Coordinate logistics, agendas, and presentation materials for quarterly REMD All Hands staff meetings (virtual, hybrid, and in-person) and daily planning sessions.
- Oversight Inquiries: Assist federal staff in gathering information and drafting formal responses to inquiries from oversight agencies, including OMB, DHS, Congress, and the GSA.

Key Responsibilities (Operational Coordination
- Task 4.B):
- Cross-Functional Synchronization: Coordinate collaborative activities across REMD branches, particularly concerning space buildouts, tenant renovations, personnel relocations, and real property leasing.
- Data Aggregation & Reporting: Analyze, interpret, and integrate TSA real property and facility-related data into accessible formats (graphs, tables, databases, spreadsheets, web inputs) for field personnel.
- Communication Planning: Develop, maintain, and regularly update a holistic communications plan for REMD to enhance the clarity and dissemination of real estate-related information.
- Working Group Support: Prepare reports, coordinate engagement materials, and provide logistical support for DHS-mandated real property reporting requirements and REMD participation in DHS working groups.
Position Requirements
Required Qualifications:
- Experience: Must possess relevant real-world experience supporting the development, review, and enhancement of federal processes, procedures, artifacts, and executive reporting communications.
- Skills: Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint) and data integration. Exceptional written and verbal communication skills, with the ability to translate complex facility-related information into executive summaries.
- Work Ethic: Highly proactive approach to assuming ownership of assigned actions and facilitating solutions autonomously.
Clearance Requirement:
Ability to pass a TSA Phase 1, 2, and 3 Fitness Determination (Public Trust/Background Investigation)
