Are you a highly organized, mission-driven professional who thrives in fast-paced, high-visibility environments? We’re seeking a skilled Office Management / Staff Officer (Level
3) to provide executive-level operational, administrative, and policy support within a national security environment.
This role is ideal for someone who combines precision, discretion, and strategic thinking with strong communication and problem-solving abilities.
What You’ll Do- Executive & Office Operations Leadership
- Serve as a critical partner to senior leadership, ensuring seamless office operations and mission execution by:
- Managing senior leadership calendars, schedules, and executive phone lines
- Coordinating high-level meetings and events from concept to execution
- Developing agendas and supporting event facilitators
- Maintaining records in accordance with federal records management standards
- Managing organizational charts, recall rosters, and emergency contact data
- Coordinating executive travel using Defense Travel System (DTS) and Management and Execution Tracker (MET)
- Participating in staff and working group meetings
- Strategic Communications & Staff Support
- Crafting and refining communications that directly support agency leadership and mission priorities:
- Drafting, editing, and reviewing official correspondence, policies, memorandums, SOPs, staff packages, white papers, reports, talking points, and meeting minutes
- Ensuring all products are clear, concise, accurate, and tailored to the intended audience
- Delivering written and verbal communication to diverse stakeholders with professionalism and precision
- Policy, Process & Problem-Solving Expertise
- Researching laws, policies, and mission requirements to identify inconsistencies or gaps
- Supporting internal policy development and process improvements
- Evaluating existing workflows, designing enhancements, and implementing efficiencies
- Managing security policy architecture and senior-level staff packages
- Supporting Forms Management and policy updates
- Tracking internal and external taskers to ensure on-time, high-quality completion
- Managing electronic tracking systems at both enterprise and office levels
- Supporting special projects to meet milestones and mission objectives
- Experience in DOD Security and Installation environments
- Experience supporting executive-level clients within the Intelligence Community, NGA, DoD, or Federal Government
- Strong background in strategic planning support and data/metrics analysis
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience managing executive travel using DTS, MET
, or equivalent systems - Familiarity with People Soft, SharePoint, NCERTS
, or similar enterprise systems - Exceptional written and oral communication skills
- Ability to operate independently in high-visibility, deadline-driven environments
- Strong interpersonal skills with a customer-focused mindset
