The Purchasing Assistant supports the procurement team by coordinating purchasing activities, maintaining supplier relationships, and ensuring timely and cost-effective acquisition of materials and services. This role is critical to maintaining production flow and inventory accuracy.

Education Requirements
  • High school diploma or GED required.
  • Associate degree or coursework in Business, Supply Chain Management, Procurement, Accounting, or a related field preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Strong computer skills and ability to learn new ERP and procurement systems.
Experience Requirements
  • 1-3 years of experience in purchasing, procurement, supply chain, inventory control, or administrative support.
  • Experience using ERP systems such as SAP, Oracle, Net Suite, Microsoft Dynamics, or similar business software preferred.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills for interacting with vendors and internal departments.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Physical Capabilities
  • Ability to work in an office or manufacturing environment for extended periods.
  • Frequent use of computers, phone systems, and office equipment.
  • Ability to review documents, spreadsheets, and purchasing records with a high degree of accuracy.
  • Occasional walking through warehouse or production areas to coordinate material needs and inventory activities.
Job Duties
  • Assist buyers and purchasing teams with creating, processing, and tracking purchase orders.
  • Monitor supplier performance and follow up on order status to ensure on-time delivery of materials and services.
  • Maintain accurate supplier, purchasing, and inventory records within ERP systems.
  • Coordinate with production, inventory, accounting, and operations teams regarding material requirements and purchasing needs.
  • Review and reconcile purchase orders, order confirmations, invoices, receipts, and vendor documentation.
  • Support supplier onboarding, compliance documentation, and vendor record maintenance.
  • Monitor inventory levels to help prevent shortages, delays, and excess inventory.
  • Prepare purchasing reports, spend analysis, and procurement performance metrics.
  • Resolve vendor discrepancies and elevate complex purchasing issues when necessary.
