ADMINISTRATIVE ASSISTANT

Direct Report:
Lead Pastor

Position Status:
Full Time

Role Responsibilities
  • Attend weekly staff + directors meetings
    • Record professional, clear, and detailed meeting minutes and distribute to Directors
  • Oversee Church Management System
    • Maintain accurate, up to date church roster
    • Maintain accurate, up to date church calendar
    • Maintain attendance records
    • Assist members in accessing CMS as necessary
  • Record weekly offerings
    • Record all donations from Weekly in person offering
  • Assist in the Invoice Management process
    • Ensure timely processing of all invoices received by the church
      • Florals (condolences, baby, etc.)
      • Catering orders for events or meetings, as requested
      • Manage other correspondences and invoices as needed
  • Oversee Next Steps
    • Ensure assimilation processes are functioning properly and people are flowing through the pipeline in a timely manner
  • Oversee Church Calendar + Online Calendar
    • Ensure all events are posted to agapecamden.org in a timely manner
    • Ensure all details / corresponding registration pages are working properly
  • Oversee Administrative Department
    • Recruit, Train & Manage Administrative Team
    • Manage inbound and outbound communication to Agape Church (Phone, Email & Reception)
  • Connect Card Follow-Up
  • Decision Card Follow-Up
  • Oversee Lead Pastor’s Calendar
    • Manage and optimize the Lead Pastor’s calendar, proactively handling scheduling conflicts
    • Facilitate meeting requests from church members, visitors, and ministry leaders
    • Gather context and preliminary information for all requested appointments to maximize the pastor’s preparedness and effectiveness
    • Communicate with the congregation, staff, and public using a high level of discretion, professionalism, and Christ-like kindness
    • Route pastoral care or counseling needs to the appropriate staff members when necessary
  • Oversee Lead Pastor’s Email Inbox
    • Actively monitor and sort incoming emails, independently drafting responses where appropriate and verbally briefing the Lead Pastor on time-sensitive or complex items that require his direct input
    • Ensure each email is grammatically correct, professionally formatted, and communicates a kind, professional tone
  • Oversee Church Email Inbox
    • Correspond with congregation and members of the community on behalf of Agape Church
    • Ensure each email is grammatically correct and professionally formatted
  • Collect and distribute all mail / shipments
  • Maintain orderly, clean and organized office area
  • Oversee all ordering / re-ordering of supplies
    • Includes Office Supplies, Janitorial Supplies, Kitchen Supplies, and Coffee station items
  • Create and Maintain Church Filing System of Important Records / Documents
    • Oversee Google Drive
  • Overall Church Communication
    • Weekly Email
    • Mass Texting
  • Assist Lead Pastor with special projects upon request
    • Other duties as assigned
  • Sunday Responsibilities
    • Assist Lead Pastor with special projects upon request
    • Be available to congregation to schedule meetings with Pastoral Staff
  • Assist Leadership with service operations as necessary
Qualifications
  • General knowledge of Planning Center Online
  • General knowledge of Google Drive

Work Week

Sunday 8:30 AM - 12:30 PM / 6:00 PM - 7:00 PM (staff & volunteer director meeting)

Monday 9:00 AM - 5:00 PM

Tuesday 9:00 AM - 5:00 PM

Wednesday 9:00 AM - 5:00 PM

Thursday 9:00 AM - 5:00 PM

Friday OFF
