Overview
Under general supervision of the Sheriff’s Office leadership, this position supports the Nicollet County Sheriff’s Office by providing quality services that promote and protect the safety, security, and well‑being of all the people in the community. The role provides administrative support to the Sheriff’s Office, accepts requests for service of process, receiving requests for collections and services, coordinates service of process and collections, monitors services, and maintains the Sheriff’s Office accounts fee and trust.
The role also communicates appropriately and provides information to a community of consumers including internal and external partners and the public.
- Accept civil process requests for service and collections, ensuring proper jurisdiction and accuracy of documents and information. Enter case information into the Civil Process program and draft documents for various areas of civil process.
- Collect training information and certificates, enter the trainings, locations, and expenses, assign them to the appropriate employee(s), and download their certificate(s) into the training database. Complete annual report for submission to POST Board for reimbursement.
- Maintain confidential department and employee files. Take Sheriff’s Office photos for employee IDs.
- Maintain office supply inventory, research and purchase supplies as requested or needed, and process, receive, sort, and distribute a variety of correspondence, deliveries, and mail.
- Monitor collections and service attempts for timeliness, prepare appropriate Certificates of Service/Non‑Service, and e‑file the returns with the court system. Create invoices and receipts for money received for civil process services, wage and bank levies to proper accounts.
- Oversee and monitor budget revenues and expenses and special funds within the Sheriff’s Office, compile and provide budgetary and financial information, assist with tracking and preparing the Sheriff’s Office budget, and prepare receipts for monies received from paper service billings, wage levy, bank levy, and wage assignments to proper accounts.
- Perform independent legal work, including reviewing legal documents received from attorneys, drafting legal documents, correspondence and statements.
- Track all contracts for the Sheriff’s Office and maintain the schedule for renewals.
- Valid MN Driver’s License.
- Two (2) years of formal training in tech or an associate’s degree.
- One (1) year of administrative support experience, or an equivalent combination of education and experience to successfully perform the essential duties of the job.
