Responsibilities
  • Provide confidential administrative and specialized support for the Facility Director and Facility Executive Team by providing administrative, technical, and operational support, including independently leading, coordinating and organizing special projects.
  • Serve as the facility’s first point of contact and exercise autonomy to coordinate and prioritize work.
  • Provide comprehensive support to the Facility Director, Facility Clinical Director, and Facility Executive team to ensure efficient day-to-day operations.
  • Compose public, highly sensitive correspondence and reports from instructions, including letters, memos, job descriptions, appeal letters, unit shut down plans, emergency response plans, organizational charts, quarterly and other reports.
  • Maintain up-to-date calendars, schedule meetings and appointments.
  • Prepare training/presentation materials, including PowerPoint presentations and desktop publishing for brochures and flyers.
  • Act as a liaison with community members, local legislators, and law enforcement.
  • Lead special projects as requested by the Facility Director.
  • Assist managers and supervisors with human resource functions, including scheduling and organizing candidate interviews and collecting HR paperwork, in coordination with HR.
Minimum Qualifications
  • Communication Skills – Demonstrated ability to support upper-level management with the ability to understand, interpret, and execute detailed oral and written instructions with minimal oversight; strong command of English, spelling and grammar; able to compose, analyze, edit and summarize data and reports with minimal review.
  • Customer Service Skills – Experience supporting upper-level management and handling difficult inquiries from the public, media, legislative personnel, and other stakeholders.
  • Data Entry – Ability to collect and analyze data to prepare reports and maintain databases per policies.
  • Records Management – Maintain records and documents per statutory retention requirements.
  • Desktop/Website Publishing – Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Spreadsheets – Ability to create, modify, sort, and extract data.
  • Typing/Keyboarding – Ability to compose meeting materials and data summaries.
  • Word Processing – Ability to compose and format public and sensitive correspondence and reports, including mail merge.
Preferred Qualifications
  • At least 3 years of experience supporting upper-level management.
  • Ability to plan, organize and prioritize multiple work activities.
  • Knowledge of data privacy laws governing confidential information.
  • SharePoint experience.
  • Experience in state/local government or public sector.
  • Experience working with diverse teams.
