Job Summary

The Administrative Assistant will perform general clerical duties, support department operations, manage daily office operations, coordinate schedules, handle communications, maintain records, and ensure efficient workplace functioning. The role requires strong attention to detail and the ability to work well with colleagues and the public.

Essential Functions
  • Answer and direct phone calls, emails, and other correspondence.
  • Check and distribute mail for the special education department.
  • Schedule appointments, meetings, and conference calls.
  • Maintain calendars and coordinate travel arrangements as needed.
  • Prepare, edit, and distribute reports, presentations, requisitions, and other documents.
  • Organize and maintain filing systems, records, and databases.
  • Assist with data entry, write requisitions, process mileage forms.
  • Order and manage office supplies.
  • Welcome visitors and provide general customer service support.
  • Coordinate meetings and team activities.
  • Support three assistant directors and staff with administrative projects and special assignments.
  • Ensure confidentiality of sensitive information and company records.
Education & Experience

Required: High School diploma or equivalent.

Preferred: Associate’s or Bachelor’s degree; previous administrative, support, or clerical experience.

Knowledge, Skills, and Abilities
  • Proficiency in Google Suite (Docs, Sheets, Gmail, Slides).
  • Knowledge of recordkeeping and document management practices.
  • Experience with scheduling and managing calendars.
  • Strong organizational and time‑management skills.
  • Excellent verbal and written communication skills.
  • Professional demeanor and customer service orientation.
  • Ability to prioritize tasks and manage multiple responsibilities.
  • Strong attention to detail and problem‑solving abilities.
  • Ability to work independently and collaboratively in a team environment.
