The Role

As Asset Accountant, you will own all accounting operations for a 1,000+ vehicle fleet. This role is foundational to monthly close, audit readiness, fixed‑asset accuracy, and fleet‑level financial reporting. You will manage the entire lifecycle of vehicle accounting—purchases, upfit costs, depreciation, insurance, incentives, and disposals—while maintaining a precise, audit‑ready fixed‑asset register.

The role begins with Fleet Operations due to volume and complexity. As capacity allows, responsibilities expand into broader public‑company accounting and assistant‑controller‑level work.

Key Responsibilities
  • Maintain and reconcile the fixed‑asset register for 1,000+ vehicles including VINs, cost basis, depreciation, insurance, and related assets.
  • Own the monthly depreciation cycle and ensure journal entries tie accurately to ERP systems and the general ledger.
  • Track detailed vehicle cost basis (purchase price, upfit costs, rebates, incentives, eligibility criteria, etc.).
  • Reconcile data across multiple systems including ERP, operational platforms, investment accounting systems, and Excel.
  • Support bulk vehicle purchases (20-40 vehicles), including onboarding, capitalization, and cost allocation.
  • Track and amortize prepaid insurance and other vehicle‑related prepaid assets.
  • Maintain fixed‑asset accounting policies including capitalization thresholds, useful lives, and depreciation methods.
  • Prepare audit‑ready fixed‑asset work papers and respond to external auditor inquiries.
  • Support month‑end close including accruals, reconciliations, and fleet‑related balance sheet schedules.
  • Partner with Fleet Operations on lifecycle events: purchases, upfits, repairs, retirements.
  • Identify and implement automation opportunities and workflow improvements.
  • Apply SOX‑aligned discipline to documentation, reconciliations, and evidence standards.
Required Qualifications
  • Bachelor's degree in Accounting or Finance.
  • 3-5+ years of accounting experience in fixed‑asset or asset‑heavy environments.
  • Experience with Net Suite and/or Microsoft Dynamics 365 Business Central.
  • Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, large dataset management).
  • Experience with monthly close, reconciliations, and audit support.
  • Knowledge of US GAAP fixed‑asset accounting standards.
  • Strong attention to detail, documentation, and accuracy.
  • Demonstrated SOX/process/controls mindset with documentation discipline and evidence capture.
  • Experience using AI tools—including agentic AI systems—for reconciliation support, anomaly detection, documentation drafting, audit prep, or workflow automation.
Preferred Qualifications
  • CPA or CPA‑track.
  • Experience in transportation, fleet management, leasing, manufacturing, or other asset‑heavy industries.
  • Familiarity with investment accounting systems (e.g., Geneva/SS&C) for data reconciliation or multi‑entity reporting.
  • Experience with bulk inventory/asset onboarding processes.
  • Familiarity with financial reporting tools (e.g., Jet Reports).
