Office Administrator/ Coordinator, Admin Assistant
The Front Desk Administrator is the first point of contact for visitors, clients, and employees, providing exceptional customer service and administrative support to ensure smooth daily operations. This role manages front office activities, coordinates communications, and supports various administrative tasks across the organization.
Responsibilities Front Desk & Customer Service- Welcome and assist visitors, clients, and employees in a professional and friendly manner.
- Answer, screen, and route incoming calls; take accurate messages when needed.
- Maintain the reception area to ensure a clean, organized, and welcoming environment.
- Manage daily mail, deliveries, and outgoing shipments.
- Support scheduling, meeting coordination, and conference room reservations.
- Assist with document preparation, data entry, filing, and general office tasks.
- Maintain office supply inventory and place orders as needed.
- Assist with onboarding tasks such as preparing visitor badges or new‑hire materials.
- Update company directories, calendars, and internal contact lists.
- Support internal teams with special projects and administrative duties.
- Follow company policies regarding confidentiality and security.
- Provide administrative coverage during staff vacations or absences.
- Perform additional responsibilities as assigned.
- High school diploma or equivalent.
- 1–3 years of experience in an administrative, receptionist, or customer‑facing role.
- Strong communication and interpersonal skills.
- Proficiency with Microsoft Office (Outlook, Word, Excel) and office equipment.
- Excellent organizational skills and attention to detail.
