Position: Administrative assistant at State of Connecticut Department of Public Health Stamford, CT

Administrative Assistant — Connecticut Department of Public Health, Stamford, CT.

Salary: $63,777 - $82,530 per year (new state employees start at minimum).

Job Type: Open to the Public;
Full‑time, 40 hours per week;

Work Schedule:

Monday‑Friday;

Shift: 8:00 a.m. – 4:30 p.m.;

Location:

1351 Washington Boulevard, Stamford, CT.

Responsibilities
  • Coordinate meetings, take notes, and compose professional minutes.
  • Correspond on behalf of the Site Director, managing incoming and outgoing mail.
  • Assist with agency event and project planning and implementation.
  • Monitor and manage agency postings and presentation slide show in the waiting room.
  • Perform data entry and generate, compile, and modify reports using Excel, Word, Access, SharePoint, and Adobe.
  • Manage room reservations and Outlook calendars.
  • Collaborate with the IT department regarding office phone systems, computer accounts, and related issues.
  • Monitor and maintain office supplies and equipment inventory, coordinating with the Business Office for purchases.
  • Monitor office environment and state vehicles; submit work requests and monthly mileage sheets to Plant Operations; coordinate with building and vehicle maintenance.
  • Organize and manage confidential digital and paper files.
  • Supervise the office assistant and provide backup coverage for the reception, answering calls, greeting visitors, taking messages, and coordinating with security, agency staff, and providers.
Qualifications
  • Four (4) years of experience above routine clerk level in office support or secretarial work.
  • At least one (1) year of that experience must be as a Secretary II (or equivalent).
  • College training in secretarial sciences may substitute up to two (2) years of experience.
  • Proficiency with Microsoft Outlook, Teams, Word, Excel, Access, PowerPoint, Publisher, SharePoint, and Adobe.
  • Experience with professional note‑taking and meeting minutes writing.
  • Experience multitasking and prioritizing new tasks as they arise.
  • Strong interpersonal communication and customer‑service skills.
  • Proficient with office equipment, including computers and office‑suite software.
Preferred Qualifications
  • Experience working in a healthcare or behavioral‑health setting.
  • Experience with time management and providing customer‑service skills to coworkers and clients.
