Administrative Assistant — Connecticut Department of Public Health, Stamford, CT.
Salary: $63,777 - $82,530 per year (new state employees start at minimum).
Job Type: Open to the Public;
Full‑time, 40 hours per week;
Work Schedule:
Monday‑Friday;
Shift: 8:00 a.m. – 4:30 p.m.;
Location:
1351 Washington Boulevard, Stamford, CT.
- Coordinate meetings, take notes, and compose professional minutes.
- Correspond on behalf of the Site Director, managing incoming and outgoing mail.
- Assist with agency event and project planning and implementation.
- Monitor and manage agency postings and presentation slide show in the waiting room.
- Perform data entry and generate, compile, and modify reports using Excel, Word, Access, SharePoint, and Adobe.
- Manage room reservations and Outlook calendars.
- Collaborate with the IT department regarding office phone systems, computer accounts, and related issues.
- Monitor and maintain office supplies and equipment inventory, coordinating with the Business Office for purchases.
- Monitor office environment and state vehicles; submit work requests and monthly mileage sheets to Plant Operations; coordinate with building and vehicle maintenance.
- Organize and manage confidential digital and paper files.
- Supervise the office assistant and provide backup coverage for the reception, answering calls, greeting visitors, taking messages, and coordinating with security, agency staff, and providers.
- Four (4) years of experience above routine clerk level in office support or secretarial work.
- At least one (1) year of that experience must be as a Secretary II (or equivalent).
- College training in secretarial sciences may substitute up to two (2) years of experience.
- Proficiency with Microsoft Outlook, Teams, Word, Excel, Access, PowerPoint, Publisher, SharePoint, and Adobe.
- Experience with professional note‑taking and meeting minutes writing.
- Experience multitasking and prioritizing new tasks as they arise.
- Strong interpersonal communication and customer‑service skills.
- Proficient with office equipment, including computers and office‑suite software.
- Experience working in a healthcare or behavioral‑health setting.
- Experience with time management and providing customer‑service skills to coworkers and clients.
