Concierge Practice Receptionist/ Scheduler
We are seeking a friendly, highly organized, and professional Concierge Practice Receptionist/ Scheduler to serve as the welcoming face and voice of our practice. In this role, you will be the primary point of contact for our members, managing front desk operations and delivering a seamless, white-glove healthcare experience. You will manage complex scheduling and coordinate personalized patient requests. The ideal candidate anticipates patient needs and thrives on building long-term, trusting relationships.
This candidate also excels at multitasking in a fast-paced environment and delivers top-tier customer service to keep our daily operations running smoothly.
Key Responsibilities
- Guest Services:
Greets and checks in clients, patients, or visitors warmly upon arrival and direct them to the appropriate staff. - Appointment Scheduling:
Manage calendars by booking, rescheduling, and confirming appointments accurately. - Phone Management:
Answer, screen, route, and document incoming calls, and handle customer inquiries efficiently. - Data Intake:
Collect and verify intake information, such as client demographics, records, or insurance details. - Administrative Support:
Maintain a clean and organized reception area while handling basic clerical tasks like filing, copying, and scanning documents. - White-Glove Hospitality:
Deliver warm, personalized greetings to members, ensuring zero wait times and immediate attention. - Member Advocacy:
Act as a dedicated liaison between patients, clinical staff, and internal and external health networks. - Elite Communication:
Handle multi-channel communications (phone, email, MyChart) with flawless professionalism and prompt responses. - Privacy & Discretion:
Maintain absolute patient confidentiality and adhere to HIPPA privacy laws.
