Job Summary
Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for greeting employees and visitors, answering incoming calls, mail distribution, flow of correspondence, maintain calendars for meetings, as well as additional clerical duties.
Key Responsibilities Front Desk Duties- Greet/host/provide support for guests, visitors and employees
- Assist visitors and employees with way finding
- Answer all in-coming calls
- Submit visitor and parking requests
- Update phone lists, SOPs and other administrative duties as requested
- Point of contact for packages/deliveries
- Respond and follow through to requests for information and communicate with all levels of management with minimal supervision
- Housekeeping Duties (i.e. pick up and display literature, maintain a welcoming and clean presentation of the Lobby, report any mechanical issues or other issues to the facilities group, etc.)
- Assist in the resolve of problems associated with all building services including, but not limited to janitorial, mailroom, badging, and conference room/AV Support.
- Assists with the coordination and scheduling of visitors with the property security desk
- Assists with the coordination and scheduling of office/building maintenance activities
- Support onsite mailroom with packages/deliveries
- Support onsite mailroom to prepare postage/labels for mail/UPS/Fed Ex, courier services, etc.
- Provide full mailroom coverage when needed
- Any and all other duties and tasks as assigned
- Minimum
Required:
High school diploma - Preferred:
Some college preferred
- Minimum
Required:
One to two years - Preferred:
Three years administrative/facilities experience supporting multiple people, preferably in the commercial real estate industry - Experience in supporting a front desk that has high security standards and protocols
- Minimum
Required:
Excellent customer service and relationship building skills - Strong organizational, interpersonal and communication skills
- Working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook Software
- Preferred:
Mailroom experience
- Minimum
Required:
Reliable transportation - Full time position on location - no remote work
- This is largely a sedentary role; some mailroom duties are required, including handling packages, delivering mail/packages, and the ability to bend, walk or stand as necessary
