Office Administrator/ Coordinator, Clerical
Job Summary
Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for greeting employees and visitors, answering incoming calls, mail distribution, managing correspondence flow, maintaining calendars for meetings, and additional clerical duties.
Key Responsibilities- Greet, host, and provide support for guests, visitors, and employees.
- Assist visitors and employees with way finding.
- Answer all incoming calls and manage call distribution.
- Submit visitor and parking requests and update phone lists and SOPs.
- Act as point of contact for packages and deliveries, coordinating with carriers.
- Respond to and follow up on information requests, communicating with all levels of management with minimal supervision.
- Perform housekeeping duties in the lobby, including picking up and displaying literature, maintaining a welcoming and clean presentation, and reporting mechanical or service issues to facilities.
- Assist with resolving problems related to building services, including janitorial, mailroom, badging, conference room/AV support, and coordinating with property security.
- Coordinate and schedule visitors with the property security desk and office/building maintenance activities.
- Support onsite mailroom with package handling, postage preparation, and courier services, providing full coverage when needed.
- High school diploma required; some college preferred.
- Minimum 1–2 years of administrative/facilities experience, with 3 years preferred; experience supporting a front desk with high security standards is desirable.
- Excellent customer service and relationship building skills.
- Strong organizational, interpersonal, and communication skills.
- Working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.
- Mailroom experience is a plus.
- Reliable transportation.
This is largely a sedentary role, but some mailroom duties are required, including handling packages, delivering mail, and bending, walking, or standing as necessary.
Compensation$42,200.00 – $51,700.00 USD per year (estimated).
LocationOn-site – Stamford, CT (no remote work).
