Job SummaryResponsible for greeting guests, residents and employees, managing both external and internal calls, taking and communicating messages and providing information of a general nature.
Principal Duties/Responsibilities- Carries out telephone answering, and reception duties as required.
- Takes complete messages with pertinent information and communicates messages to the intended recipient.
- Greets residents and visitors. Answers inquiries and gives directions.
- Collates brochures for the marketing department.
- Updates the Resident Phone List and Roster and Move-In and Move-Out Register daily;
Guest and Sign-In Logs as necessary. - Manages appointments for residents and family members such as but not limited to hairdresser, transportation, etc.
- Maintains and keeps desk and entry area neat and organized.
- Organizes, distributes mail to residents, Executive Director and Department Coordinators.
- Maintains resident forms for miscellaneous credits.
- Maintains adherence to all company personnel policies and established operating policies and procedures.
- High school diploma or general education degree (GED) preferred.
- One to three years customer service experience and/or training; or equivalent combination of education and experience.
- Language Ability:
Ability to write simple correspondence; effectively present information in one-on-one and small group situations; excellent telephone communication skills. - Mathematical
Skills:
Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's; perform operations using U.S. money, weight, volume and distance. - Computer
Skills:
Ability to use Microsoft Windows, Word, Excel, email and Internet; general office skills such as use of copy machine. - Competencies:
Interacts with guests, residents and staff in a courteous and friendly manner; balances team and individual responsibilities; responds promptly to resident and visitor needs; completes administrative tasks accurately and timely; handles multiple priorities; good organizational, time management and record‑keeping skills; good judgment, problem solving and decision‑making skills.

Employee should be able to:
Bend, squat, kneel, climb, reach occasionally. Use hands for repetitive simple grasping, pushing, pulling, and fine manipulation.
