Tenant Services Coordinator II (2–4 Years Experience)
The Tenant Services Coordinator II oversees facilities and office management operations for corporate offices in Stamford, CT and associated branch locations. This role manages furniture, fixtures, equipment, and general office use to ensure a safe, efficient, and well-organized workplace. The Tenant Services Coordinator delivers timely and cost-effective support to internal business units while upholding corporate policies, local codes, and shared organizational values.
Responsibilities
- Coordinate day-to-day operations of office facilities, including use, deliveries, maintenance, and repairs for Stamford and branch locations.
- Serve as a primary point of contact with building management for building-related services such as security, climate and comfort, building rules, announcements, and other building operations.
- Coordinate branch events, including planning room layouts and arranging the set-up of equipment and furnishings to support meetings and activities.
- Maintain and manage conference room scheduling to ensure efficient use of shared spaces, when required by the site.
- Follow and enforce facility and office management corporate policies, ensuring compliance with published directives and applicable local codes and laws.
- Initiate purchase requests for facilities and office needs, obtain required expenditure approvals, and process invoice payments accurately and on time.
- Maintain the work order request system and preventative maintenance tracking systems to ensure timely completion of maintenance and service tasks.
- Verify invoices, work orders, and deliveries to confirm accuracy, completeness, and adherence to contract terms.
- Coordinate vendor activities on-site and remotely, ensuring compliance with all service contracts and maintenance requirements.
- Support the coordination of competitive bid processes for facilities-related services in collaboration with internal stakeholders.
- Assist with coordinating contractors, internal associates, and building management to ensure smooth execution of projects and services.
- Perform all duties in alignment with the organization's shared beliefs, values, and standards of conduct.
- Provide responsive, professional customer service to internal stakeholders and tenants regarding facilities and office management needs.
Essential Skills
- 2–4 years of experience in facilities management, office management, or a closely related tenant services role.
- Hands-on experience managing work orders and preventative maintenance tracking systems.
- Demonstrated ability to coordinate facilities operations, including maintenance, repairs, deliveries, and general office support.
- Experience with conference room scheduling and meeting space coordination.
- Proven vendor management experience, including coordinating vendor activities and monitoring service contract compliance.
- Practical knowledge of invoicing processes, including initiating purchase requests, obtaining approvals, and processing invoice payments.
- Strong customer service skills with the ability to support internal business units and tenants professionally and efficiently.
- Proficiency with Microsoft Office applications for communication, documentation, tracking, and reporting.
- Ability to follow and apply corporate policies, procedures, and local codes and laws related to facilities and office management.
- Strong organizational and time management skills with the ability to handle multiple tasks and priorities.
Additional Skills & Qualifications
- Experience coordinating events, including room set-up, equipment arrangement, and furniture configuration.
- Experience in facilities maintenance coordination within multi-office or multi-branch environments.
- Familiarity with competitive bid processes for facilities and vendor services.
- Ability to collaborate effectively with building management, contractors, and internal associates.
- Attention to detail in verifying invoices, work orders, and deliveries for accuracy and completeness.
