Title: Facilities Operations & Maintenance

Pay Rate Range: $25 - $36/hr (DOE)
Employment Type: Contract
Schedule: Full-time, Monday-Friday, typically 7:30 AM-4:30 PM (hours may vary based on events)
Location: Palo Alto, CA 94305 (100% Onsite)

Tekberry is looking for a skilled and dependable Facilities Specialist to work onsite with our client, a world-class academic institution. In this role, you will support campus facilities operations across multiple buildings, ensuring classrooms, offices, labs, and event spaces are functional, safe, and well-maintained. This position offers the opportunity to work in a fast-paced environment supporting faculty, students, and staff with a high standard of customer service.

Responsibilities
Facilities Operations & Maintenance (40%)
  • Serve as the primary point of contact for facilities-related issues in assigned buildings.
  • Submit and track work requests; coordinate vendors, contractors, and service providers.
  • Perform routine facility checks including equipment condition, appearance, and safety compliance.
  • Assist with basic maintenance tasks such as resetting classrooms, hanging signage/pictures, and minor furniture adjustments.
  • Support equipment upkeep such as freezers, refrigerators, water filtration systems, or small lab devices (as applicable to department).
Event & Space Support (20%)
  • Set up and break down tables, chairs, and other equipment for meetings and events.
  • Maximize efficient use of shared spaces; maintain inventory of furniture layouts and room standards.
  • Work closely with event planners to ensure spaces are ready and functioning before each event.
Inventory, Supplies & Security (20%)
  • Monitor inventories of classroom and kitchen supplies; restock as needed.
  • Maintain storage areas and ensure compliance with fire and safety regulations.
  • Distribute and track building keys and access badges; monitor building security needs.
  • Receive, sort, and distribute mail, packages, and materials.
Project & Administrative Support (20%)
  • Support small facility projects by coordinating schedules, vendors, and documentation.
  • Maintain logs, spreadsheets, and reports related to facility operations.
  • Assist with space planning, move coordination, and layout updates.
  • Participate in safety training, emergency preparedness, and building orientation for new staff.
Must-Have Qualifications
  • Associate's degree or 2-3 years of experience in facilities, maintenance, operations, or a related field.
  • Strong customer service skills with the ability to work professionally with faculty, staff, students, and vendors.
  • Ability to lift/move furniture and equipment (up to 40 lbs).
  • Ability to walk frequently between multiple buildings and floors throughout the workday.
  • Strong organizational skills with the ability to manage multiple tasks and competing priorities.
  • Basic proficiency with tools and equipment (e.g., hanging whiteboards, mounting items, light repairs).
  • Working knowledge of Excel, Word, PowerPoint, and basic inventory or facilities software.
Preferred Qualifications
  • Experience in a university, research, facilities, or operations setting.
  • Basic carpentry skills and comfort using hand tools.
  • Knowledge of safe handling of chemicals or hazardous waste (not required but valued).
  • Experience coordinating with vendors, contractors, or facilities services teams.
  • Familiarity with emergency preparedness, fire safety compliance, or building access systems.
Work Environment
  • 100% onsite across multiple campus buildings.
  • Frequent walking, lifting, moving equipment, and hands-on physical work.
  • Occasional schedule changes for events or urgent facilities needs.
  • Must be able to obtain and maintain a California Class C driver's license if required.
