Position Summary

The Warehouse & Office Coordinator supports daily business operations through a mix of warehouse support, office administration, customer service, and general business coordination. This role helps keep the office and warehouse organized, supports customers and internal staff, assists with deliveries and supply runs, and handles day-to-day administrative tasks that help the business run smoothly.

This is a hands‑on role for someone who is organized, dependable, and comfortable helping wherever needed, whether that means answering customer calls, making quotes, organizing materials, delivering stock, or keeping the office in good order.

Essential Duties and Responsibilities Warehouse and Operations Support

Receive incoming deliveries, materials, tools, and equipment and verify quantities and condition

Organize and maintain the warehouse, storage, and staging areas

Track inventory, supplies, and equipment usage in spreadsheets or internal systems

Help prepare materials, parts, tools, and paperwork for pickup, delivery, or job site use

Perform routine inventory counts and help reconcile discrepancies

Monitor stock levels and notify management when items need to be reordered

Deliver stock, parts, or materials to customers or job sites as needed

Coordinate basic shipping, receiving, and delivery logistics with vendors, customers, and internal team members

Help keep the warehouse clean, safe, and organized

Assist with other warehouse and operational support tasks as needed

Office and Administrative Support

Answer customer phone calls and route questions or requests appropriately

Provide general administrative assistance to support daily business operations

Prepare sales quotes and assist with basic customer follow‑up

Enter and maintain accurate data for orders, deliveries, inventory, and operational records

Scan, file, and organize physical and digital documents

Support scheduling and coordination for deliveries, pickups, and vendor visits

Help order and pick up office and business supplies from vendors such as Costco, Staples, or other local suppliers

Maintain a clean, organized, and professional office environment

Support light administrative tasks related to operations, purchasing, or accounting

Prepare basic reports, logs, and spreadsheets as needed

Follow up on open items to help ensure tasks and paperwork are completed on time

Qualifications

3+ years of experience in office support, warehouse support, customer service, operations support, or a similar role preferred

Strong organizational skills and attention to detail

Comfortable handling both physical warehouse tasks and office-based administrative duties

Good communication skills and comfort speaking with customers by phone and in person

Ability to manage multiple tasks and shift priorities as needed

Basic computer skills, including email, spreadsheets, and data entry

Dependable, proactive, and willing to help with a wide range of business needs

Valid driver’s license and reliable transportation preferred, if driving for deliveries or business errands will be required

Preferred Qualifications

Experience in construction, equipment, parts, or a similar industry

Experience with inventory tracking, quote preparation, or customer support

Familiarity with Google Workspace, Microsoft Office, or similar systems

Physical Requirements

Ability to stand, walk, bend, and lift throughout the workday

Ability to lift and move items up to [25/40/50] pounds with or without reasonable accommodation

Ability to work in both office and warehouse environments

Ability to drive locally for deliveries, supply pickups, or business errands if needed

This role works in a combination of office, warehouse, and local off‑site environments. The position may involve moving between work areas, handling materials and packages, making local deliveries or supply runs, and supporting general day‑to‑day business needs.
