Academic Program Coordinator Supervisor
Join Penn State's team as an Academic Program Coordinator Supervisor. The role is part of the Department of Anthropology and the School of Labor and Employment Relations, supporting graduate and undergraduate programs and supervising the Student Services administrative staff team.
Responsibilities- Lead daily operations and administrative coordination for the Student Services administrative staff team.
- Provide leadership and mentoring to direct reports and encourage cross‑training opportunities.
- Assign duties and conduct performance evaluations.
- Ensure collaboration with college advising and other administrative units.
- Manage processing of graduate student appointments, coordinating appointment types, funding, stipend changes, salary reallocations, and fellowships.
- Monitor graduate program reporting, deadlines, and compliance with academic policies.
- Oversee resident course scheduling, working with leadership to meet teaching needs, managing schedule updates, instructor assignments, room logistics.
- Collaborate with staff on graduate student teaching and research assignments and support the Director of Undergraduate Studies in academic planning.
- Oversee undergraduate and graduate events including info sessions, career nights, commencement, recruitment weekends, new student orientation, virtual events; manage travel, accommodations, scheduling, and communications.
- Support the design and use of databases for student records, course offerings, and workload tracking; oversee staff collecting student and curriculum data and reporting.
- Provide broad administrative support across University Park and World Campus programs.
- Serve as point of contact for students, faculty, and external inquiries; maintain and organize confidential records; coordinate course scheduling and instructor assignments; provide basic technical support for course setup and classroom logistics; support faculty with materials preparation, room scheduling, form processing; collect and manage data for internal and external reporting; track student academic progress; coordinate and monitor faculty evaluation processes; communicate with university offices and departments.

- Detail-oriented with strong organization skills.
- Excellent verbal and written communication, interpersonal, and problem‑solving skills.
- Proficiency with Microsoft Office 365 (Excel, Outlook, Word).
Associate degree and 4+ years of relevant experience, or an equivalent combination of education and experience.

Salary & BenefitsThe salary range for this position, including all possible grades, is $49,188.00 – $71,340.00.

Work LocationThis position is not fully remote and requires a minimum of three days per week of on‑site work at the designated location. Flexible work arrangements may be considered when aligned with essential duties.
