Job Summary
We are seeking a detail-oriented Administrative Assistant to join our team. In addition to providing traditional administrative support, this role involves delivering and organizing signage. The ideal candidate will be highly organized, proactive, comfortable with physical tasks, and contribute to both the operational efficiency and the visual representation of our brand.
Key ResponsibilitiesAdministrative Support
- Manage calendars, schedule meetings, and coordinate appointments for the Marketing and Operations team.
- Prepare, proofread, and edit documents, presentations, and reports.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Organize and maintain digital and physical filing systems.
- Complete other tasks assigned by the marketing department.
- Assist with the ordering, setup, and organization of signage, marketing materials, and other items at various locations.
- Coordinate with vendors and suppliers to ensure timely delivery and quality of signage and promotional materials.
- Maintain and organize inventory of signage and materials, ensuring everything is in good condition and easily accessible.
- Lift and transport materials and signage, weighing up to 50 pounds, to various locations as needed.
- Provide excellent customer service by handling inquiries and resolving issues promptly and professionally.
- Liaise with clients, vendors, and partners to ensure seamless communication and support.
- High school diploma or equivalent.
- Proven experience as an administrative assistant, preferably within a marketing or operations environment.
- Ability to lift and transport materials weighing up to 50 pounds.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time management skills with the ability to multitask and prioritize tasks.
- Attention to detail and problem-solving skills.
