Administrative Assistant
The Administrative Assistant provides administrative support for Fire Department operations.
Examples of Duties
- Requisition s open positions; schedules interviews; maintains confidential applicant documentation.
- Reviews payroll records for accuracy and completeness; answers telephone and greets visitors; provides information and assistance; refers to appropriate personnel.
- Submits requisitions and purchase orders to Finance Department; prepares and validates monthly spending reports.
- Assists in managing annual budgets, including tracking, categorizing, and detailing all expenditures; analyzes data to assist with budgetary projections.
- Compiles and submits uniform orders; communicates with vendors and resolves errors and other issues.
- Maintains and updates rosters, calendars, and forms.
- Develops and maintains electronic and hard copy files and records.
- Responds to open records requests.
- Prepares a variety of forms, reports, agendas, minutes, and other materials.
- Posts and updates information to the department's social media accounts; updates department website.
- Submits IT help desk tickets in order to resolve hardware and software issues.
- Prepares documentation for the GBI audit.
- Reviews incident reports for completion and clarity; exports incident data and submits NFIRS reports to FEMA in a timely fashion.
Minimum Qualifications
- High School Diploma or GED;
- One (1) year of experience in a related field;
- Or equivalent training, education, and/or experience; and
- Valid State of Georgia Driver's License
