* Assists Director and staff with scheduling and correspondence as necessary.
* Ensures that departmental workflow and processes are properly administered. Works with director and staff to develop and implement more effective procedures as necessary.
* Oversees public reception area to manage physical access to department staff and facilities as necessary.
* Composes and formats departmental correspondence that may be complex and/or confidential.  

May have signature authority, if approved, in Department Heads absence.
* Maintains extensive public relationship with community, City Council, committees, etc., as well as coordination between departments. As assigned, presents departmental information to the public.
* Coordinates with the clerk’s office regarding agendas, administrative summaries and planning information for City Council members and meetings.
* Assists in the development of notices, flyers, brochures, newsletters, media releases, news articles, and other informational materials about programs and services.  Ensures that these materials meet departmental standards.
* Oversees department website and social media as assigned.
* Assists in the planning and follow-up of departmental staff meetings.
* Provides administrative assistance to supervisor in meeting management when necessary; assembles background materials and prepares all meeting agendas.
* Maintains staff calendars and monthly planning calendars.
* Maintains long range planning files as well as records for County Building Permits, agendas, legal notifications, deposits, invoices, payroll, annual reports, floodplain records, traffic studies, etc.
* Investigates and follows-up on citizen requests for service, complaints, and requests for information.
* Responds to internal/external inquiries either in person or by telephone. Inquiries are moderately complex and require independent thinking and judgment.  Refers to Director and planning staff as necessary.
* Prepares correspondence and makes reservations and travel arrangements for meetings, seminars, and conventions.
* Ensures availability of information and supplies necessary for all staff to complete their responsibilities in an efficient and timely manner.
* Serves as an ambassador of the City of Steamboat Springs and upholds City values of Service, Teamwork, Integrity, Well-being, Respect and Compassion, while espousing safety at all times.
* Assists the Floodplain Manager with maintaining Floodplain Development Permit logs along with initiating required information to maintain annual re-certification for flood insurance for the entire City of Steamboat Springs.
* Coordinates Vacation Home Rental Permit renewals, including tracking permit expiration dates and facilitating renewal process and payment.
* Coordinates and maintains documents and records related to the Historic Preservation function of the Department.
* May receive and coordinate response to Open Records requests.
* Maintains Notary License to notarize public documents for applicants.
* Provides research for planning staff for various projects as needed or as required by the department.
* Prepares drafts of contracts, administrative policies, etc. as assigned.
* Trains new employees in general department office procedures and initiates new board and commission members with procedures and all necessary materials.  Update of Procedure Manual.
* Assembles updated materials for Community Development Codes and various plans such as SSACP, WSSAP, etc., when necessary, as well as updating information for Planning Commission, staff and other boards.
* May serve as a member of oral interview panels for employee selection.
* May serve as a member of various employee committees.
* Requires High School diploma or GED equivalent with additional business school and or college courses preferred, and
* Three to five (3-5) years of related experience; or
* Any equivalent combination of education and progressively responsible experience.
* Proficient knowledge of the principles and practices of modern office administration; proficient knowledge of modern records management techniques.
