Essential functions (job duties):

The Program Project Coordinator for the Office of Academic and Clinical Affairs is responsible for coordinating office services, programs, and projects while effectively managing multiple priorities in a dynamic environment. This role supports the Office of Academic and Clinical Affairs within the College of Nursing, particularly in areas related to recruitment and academic programming. The coordinator actively contributes to the implementation of initiatives designed to achieve departmental goals and objectives.

In addition, the position serves as a liaison to internal and external stakeholders, representing the Associate Dean and the Office of Academic and Clinical Affairs, as directed, on special programs and initiatives while maintaining the highest level of confidentiality. This position reports to the Associate Dean for Academic and Clinical Affairs in the College of Nursing.

Anticipate the needs of the office and act accordingly by proactively identifying operational, administrative, and resource requirements before they arise. Monitor workflows, deadlines, and priorities to ensure seamless day-to-day operations. Prepare materials, coordinate logistics, and secure necessary resources in advance of meetings, projects, and events. Maintain awareness of leadership preferences, departmental goals, and organizational timelines to support efficient decision-making. Identify potential challenges or gaps and implement solutions with minimal direction, ensuring continuity and minimizing disruptions.

Exercise sound judgment, initiative, and discretion to address issues promptly while keeping stakeholders informed.

Coordinate and manage assignments requiring a high degree of organization, discretion, and confidentiality, with a strong emphasis on accurate recordkeeping and attention to detail. Monitor schedules and deadlines to effectively plan meetings, track progress, and ensure the timely completion of tasks and required documentation in support of organizational objectives.

Interpret and apply established procedures and processes to support departmental goals, recommending and implementing revisions as appropriate to improve efficiency and effectiveness. Provide accurate and meaningful statistical data and analysis to inform departmental decision-making.

Prepare and coordinate in-service agendas, reviews, and related materials. Oversee the collection, tracking, and timely submission of departmental annual and quarterly documentation in accordance with requirements established by various institutions.

Maintain the official repository of all departmental agreements, memoranda of understanding, and other formal documentation, ensuring accuracy, organization, and accessibility. Develop and manage a comprehensive tracking system to monitor the status of faculty appointments, including tenured, tenure-track, non-tenured, full-time affiliate, and voluntary faculty.

Assist with the preparation, submission, and follow-up of reports aligned with the department’s strategic goals, ensuring accuracy, timeliness, and compliance with established requirements.

Perform other related duties as assigned.

Bachelor's degree

Bachelor's degree or equivalent combination of education and experience.

Experience:

Intermediate (3 to 4 years job-related experience)

High level with experience in Banner and WISE system preferred.

Experience working with Microsoft Office Suite is a must.
