What You’ll Do
- Provide direct administrative support to a team of fourteen Superintendents
- Manage and coordinate complex calendars, meetings, and schedules
- Prepare and distribute correspondence including memos, letters, reports, and forms
- Maintain the East Region Manpower List
- Correspond with local unions
- Coordinate meetings, project reviews, and quarterly foreman meetings
- Schedule training sessions and leadership meetings, and document/track employees that completed trainings
- Arrange meeting logistics, including rooms and virtual access
- Manage scheduling conflicts
- Maintain manpower tracking, including new hires and classification changes
- Assist with manloader charts for planning
- Coordinate training schedules
- Manage enrollment and tracking of training programs
- Assign online training
- Support orientation and training events
- Maintain employee records, including evaluations and disciplinary actions, ensuring confidentiality and accuracy
- Serve as liaison between field and leadership
- Assist with union job calls
- Process expense reports
- Assist with workforce reporting
- File, scan, and prepare documents
- Coordinate travel arrangements
- Support IT needs and improve administrative systems
- Attention to detail is necessary, strong analytical skills favored
- Proficiency in Microsoft Office (Outlook, Word, Excel, etc.);
Oracle preferred - Ability to prioritize and manage multiple tasks, changing priorities as necessary
- Capacity to work under pressure and adapt to changing requirements with a positive attitude
- Strong oral and written communication skills
- Self‑motivated, proactive, and an effective team player
- Ability to interact effectively and professionally with all levels of employees, management, staff, vendors, and clients
- Associate degree in Business Administration or related discipline
- Minimum five years of administrative support experience, preferably in a construction environment
- Initiative and efficiency in Excel, PowerPoint, and Smartsheet
- A combination of education, training, and relevant experience
- General work environment—sitting for long periods, standing, walking, typing, carrying, pushing, bending; primarily indoors with fluorescent lighting and air conditioning
- Noise level generally low to medium; sometimes loud on the jobsite
- Occasional lifting up to 30 lbs.
