The Gear Department lives or dies on responsiveness. When a contractor sends a bid inquiry, the speed and accuracy of what comes back shapes whether Shepherd wins the work — and whether the customer keeps calling. Bids that move quickly, with the right people connected and nothing falling through the cracks, are how Shepherd earns the first call.

The Bid Coordinator keeps that flow moving. Working alongside the Gear team, this role coordinates incoming bid inquiries, connects customers with the right team members, and makes sure quotations are delivered on time and documents stay organized. This is an entry-level role with real room to grow — into quoting small jobs directly, processing orders with suppliers, and broader project management — for someone who is organized, curious, and ready to take ownership.

Bid Coordination & Responsiveness
  • Coordinate customer bid inquiries with the Shepherd Gear team from intake through response
  • Connect customers with the right team members so quotations are delivered in a timely manner
  • Give the team insight on what customers are asking for, and keep customers informed along the way
Documents & Organization
  • Collate customer requests and documents across both digital and print, keeping everything organized and easy to find
  • Work confidently across Outlook, Excel, Adobe, and file-transfer sites to manage bid information
  • Track the details that keep bids moving so nothing slips between intake and quote
Project Support
  • Support the team on customer- and vendor-facing project management as bids turn into orders
  • Help with expediting and tracking, change orders, and returns processing
  • Take on other tasks assigned by the leadership team and step in wherever the team needs support
Growth & Improvement
  • Build technical skills with a clear path to quoting small jobs directly to contractors
  • Grow into processing orders directly with suppliers as you take on more responsibility
  • Speak up with input on current processes and ideas to improve them — curiosity is rewarded here

  • Customers get timely responses and the team has what it needs to quote without chasing details

  • You are building technical knowledge and showing readiness to grow into quoting and order processing

Qualifications & Requirements
  • High school diploma or equivalent required
  • Effective communication skills — phone, email, and in person

  • Basic understanding of the construction industry
