OME-RESA ITC COG seeks a highly skilled and detail-oriented Executive Administrative Assistant to provide comprehensive support to our executive team. The successful candidate will coordinate the board of directors' meetings and activities and handle billing functions. Exceptional organizational skills, excellent communication abilities, and a proactive approach to managing multiple responsibilities are required.
Essential Duties and Responsibilities- Coordinate all aspects of board meetings, including scheduling, preparing agendas, distributing materials, taking minutes, ensuring timely distribution, following up on action items, and maintaining official records.
- Schedule and organize executive team meetings, arranging logistics, preparing materials, managing calendars, and ensuring resources are available.
- Handle billing functions: generate invoices, track payments, manage accounts receivable, resolve inquiries, and maintain accurate billing records.
- Serve as point of contact for stakeholders, screen calls and emails, draft and edit documents.
- Organize and maintain confidential files and databases related to board activities, billing, inventory, and administrative matters.
- Assist in coordinating special projects and initiatives, track progress, manage deadlines, and communicate updates.
- Support financial administration: budget tracking, expense reporting, accounts payable, requisitions, purchase orders, weekly bill submission.
- Perform general office tasks: order supplies, manage equipment, maintain workspace, coordinate maintenance.
- Foster positive working relationships with board members, staff, vendors, and stakeholders; represent the organization professionally and maintain confidentiality.
- Take on additional assignments and ad‑hoc projects as assigned.
- Proven experience as an executive administrative assistant or similar role supporting senior management and the board.
- Excellent organizational and time‑management skills with ability to prioritize effectively.
- Strong written and verbal communication skills and exceptional attention to detail.
- Proficiency with Microsoft Office Suite and relevant software.
- Discretion and integrity with confidential information.
- Strong problem‑solving skills and proactive mindset.
- Exceptional interpersonal skills to interact professionally with all levels.
- Experience with billing functions and financial administration preferred.
- Flexibility to adapt to changing priorities and willingness to work beyond business hours if needed.
- Associate’s Degree or High School Diploma (or GED).
- Citizenship, residency or work visa required.
