The Director of Grants Administration is responsible for researching and securing grant funding, writing compelling proposals, and ensuring full compliance with all awarded grants and contracts. This position manages the entire grant lifecycle, from prospecting and proposal development to reporting and claims, while safeguarding the organization through accurate data entry, compliance monitoring, and risk management. The role also supports capital campaign proposals and donor reporting, helping the organization sustain and expand its impact across Portage County.

PRIMARY RESPONSIBILITIES Grant Writing & Development Research and identify funding opportunities aligned with organizational needs.

Write persuasive grant proposals, renewal requests, and reports.

Assemble all grant application materials for submission.

Collaborate with Operations staff to gather data, outcomes, and program stories for funders.

Develop and maintain strong relationships with funders to ensure ongoing support and partnership.

Collaborate with operations and finance teams to align funding proposals and grant applications with the Club’s strategic priorities and program needs.

Grant & Contract Compliance Ensure compliance with contract requirements, allowable expenses, and reporting regulations.

Prepare and submit timely and accurate grant financial claims and reports.

Maintain complete grant/contract files for audits and accountability.

Work with Finance/Administration to reconcile expenditures and track grant budgets.

Pull and generate reports, numbers, and data from MCH (Salesforce-based data management system) as necessary.

Donor Data & Systems Enter grant awards and payments into donor database, ensuring accurate tracking.

Generate reports to support donor stewardship, campaign reporting, and board oversight.

Risk Management & Policies Assist in developing and maintaining organizational policies related to grant/contract compliance.

Monitor potential risks related to funding agreements and advise leadership accordingly.

Organizational Support Provide regular updates to CEO, Board, and committees on grant activity.

Support capital campaign proposal writing, donor reporting, and compliance monitoring.

Handle other duties as assigned to support organizational effectiveness.

Education & Experience Bachelor’s degree in nonprofit management, communications, journalism, public administration, or related field.
3+ years of experience in grant writing, compliance, or contract management.

Preferred experience with federal/state contracts and nonprofit compliance practices.

Skills & Competencies Excellent written and verbal communication skills, with the ability to tailor proposals and reports to funders.

Strong organizational skills, attention to detail, and ability to manage multiple projects and deadlines independently.

Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with donor or grant management software preferred.

Ability to establish and maintain effective working relationships with staff, board members, funders, and community partners.

Knowledge of youth development and community needs in Portage County.

Demonstrated project management and cross-department collaboration skills.

Physical Requirements & Work Environment Ability to sit for extended periods of time at a computer workstation.

Frequent use of hands/fingers for typing, writing, and data entry.

Visual acuity and hearing to read reports, use a computer, and communicate effectively.

Ability to occasionally lift and move up to 20 lbs. (e.g., boxes of files, event materials).Must be able to function in a fast-paced, deadline-driven, and sometimes noisy environment.

Occasional evening and weekend work required for deadlines, events, or meetings.

Other Requirements Valid State Driver’s License and reliable transportation for occasional offsite meetings or training.
