The City of Stockton is currently looking to fill a vacancy with the Administrative Services Department. The Reprographic/Mailroom Supervisor will oversee the day-to-day operations of the print shop and mailroom. The incumbent may be responsible for conducting Mailroom staff performance reviews and time off requests, developing various instructions, procedures, and training material on mailroom procedures and equipment. Preferred candidates will have experience in general mailroom functions including postage machines, paper and card cutting machines, folding/inserting, brochure folding, coiling, laminator, shrink wrapping, die punchers.
The incumbent will work a City of Stockton 9/80 schedule: 7:00 - 4:30 pm, with every other Friday off.
Incumbents in this position are included in the Civil Service system, in a "for-cause" employment status, and are represented by the Mid-Management/Supervisory bargaining unit. (Classified/Represented)
Prior to appointment, eligible candidates will be required to submit to and successfully pass a medical examination, to include a back evaluation, and a background investigation, which will include fingerprinting.
Under general supervision, plans, assigns and reviews the work of Reprographics/Mailroom Technicians; personally operates and performs minor maintenance on high speed copy reproduction, mail services, and associated equipment to produce a wide variety of printed materials for all City offices in a production setting; oversees the process and distribution of inter-office and United States mail; performs related work as required.
Class CharacteristicsThis is the working supervisory level of the series. The incumbent sets priorities, develops schedules for work production, assigns and reviews the work of a small operating staff and maintains levels of paper stock and related supplies, in addition to performing high speed copy reproduction and mailroom work. The work involves extensive contact with staff of various City departments to determine user needs and establish priorities and ensure that work is completed in a timely manner.
PrincipalDuties (Illustrative Only)
- Plans, organizes, directs and reviews the work of a small staff of technicians in reprographic and mailroom services; and trains staff in work procedures.
- Reviews all incoming printing, duplicating, and mailroom work orders, confers with user department staff to determine needs, provides technical assistance, meets critical deadlines and sets priorities.
- Prepares and prints various reports on operations and activities; identifies improvements to reprographic and mail operations and procedures.
- Maintains service levels in a cost-efficient manner; ensures the efficient use of staff and equipment; determines whether work should be produced in-house or by outside vendors; ensures reliable mail service; monitors delivery schedules, postage rates and related items.
- Maintains an adequate supply of paper stock and other supplies, reordering as required; arranges for outside plate production and printing as necessary.
- Operates, adjusts, cleans, and performs minor maintenance on high speed copy reproduction, mail services, and other associated equipment, and notifies maintenance contractor when repair is required.
- Operates and adjusts equipment to collate, trim, fold, drill holes, staple, bind and otherwise process printed materials.
- Prepares reprographics and mailroom budget for approval; administers approved budget.
- Researches, compares, and recommends appropriate machine, equipment, and service purchase or leasing contracts for current uses and future projected purchases.
- Maintains a variety of accurate records and logs of work performed.
- Monitors developments in the offset printing, copy reproduction and paper processing field; evaluates their impact upon City activities and recommends equipment and procedural changes.
