Role Description

The Office Manager is a full-time, on-site role based in Stonington, Connecticut, responsible for overseeing daily front desk and administrative operations. Duties include greeting and assisting patients, managing phone calls and scheduling appointments, maintaining patient records, and coordinating provider calendars. The Office Manager will ensure smooth office workflows, supporting practitioners, oversee use and maintenance of office equipment and the Center so that it looks attractive and has a nice presentation, and support billing and payment processing as needed.

This role also involves supporting a positive patient experience, maintaining a clean and organized Center and reception area, and collaborating with clinical staff to keep office procedures efficient and aligned with holistic health values.

Qualifications
  • Strong Communication and Customer Service skills to interact professionally with patients, staff, and partners.
  • Experience with Administrative Assistance and Office Administration, including scheduling, records management, and office coordination.
  • Expertise with Office Equipment including phones, printers, copiers, and practice management and scheduling software.
  • Ability to manage multiple tasks, prioritize effectively, and maintain attention to detail in a fast-paced office environment.
  • Prior experience in a healthcare, wellness, or customer-facing setting.
  • Proficiency with computer applications, email, EXCEL spreadsheets, scheduling systems.
  • Trained in HIPAA.High level of reliability, discretion, and professionalism when handling confidential information.
  • Education and training in office administration and healthcare administration.
  • Experience with making upbeat and educational emails and social media posts to inform patients of our events and appointment openings.
  • Easily trainable, positive upbeat attitude.
