Required Qualifications

As per Civil Service Guidelines. Must have taken and passed the specific job‑related Civil Service Exam and be reachable on the appropriate Civil Service list. 70.1 Transfers are encouraged to apply. 70.1 Transfer Candidates must have been appointed from a Civil Service List and have served permanently in an appropriate title(s) for one year. Transfers must be within two salary grades.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non‑competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. There are no minimum education or experience requirements for this title.

Brief

Description of Duties

Office Assistants perform office support and clerical work to meet the requirements of department operations. Such work may consist of but is not limited to: data entry; math or calculations; mail delivery, supply, and inventory‑related tasks; keyboarding and other document preparation tasks; answering telephones; completing forms; assisting customers; creating or assisting in the preparation of reports, charts, graphs, and tables; and other related activities.

This work is accomplished in accordance with applicable procedures, rules, regulations, and laws.

Duties

Receive, review and verify forms, documents and reports for completeness and accuracy. Receive, pick‑up, open, deliver and distribute mail, email, forms or correspondence, communication or goods.

Enter data into university computerized systems for mail, property, receiving processing. Maintains records and reports of all incoming and outgoing equipment, mail and/or parcels.

  • Track and confirm USPS, UPS, and all other courier service deliveries when necessary. Troubleshoot problems with departments.
  • Collects, maintains, edits and prepares statistical information in all areas for daily, weekly, monthly and annual reporting and billing services.

Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes

This is a full‑time position, 37.5 hours per week, Monday through Friday, 8:30 a.m. to 5:00 p.m. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously. Mandatory rehire roster candidates have preference. SG 6 Hiring Rate $36,232. This position includes location pay of $4,000 per year.

The selected candidate must successfully clear a background investigation.

* At a future date, it is expected employees hired under NY HELPS will have their non‑competitive employment status converted to competitive status, without having to compete in an examination. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Employees appointed via the NY HELPS program are restricted for promotional appointment until their position is covered‑in to the competitive class by the New York State Civil Service Commission (CSC), or they otherwise obtain permanent competitive status. The CSC has recently covered‑in employees who were appointed via NY HELPS on a permanent or contingent permanent basis between June 26, 2024 and June 11, 2025.
