Job Description – Office Assistant I – Communications – Full Time Evening Shift (4:00 PM – 12:30 AM) (2602201)
Position SummaryOur Office Assistants 1 in the Communication department typically have extensive contact with the public in person and/or by phone. These contacts may include delivering adverse decisions;
There may also be contact with other agencies or program areas to obtain or provide information and they may work in relative isolation with other clerical staff or program staff.
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
Duties- Answer calls within the first ring. Place yourself on unavailable whenever you cannot answer the next incoming call.
- Properly greet and identify yourself by first name (as described in procedures) when answering each and every call.
- Interact with each caller in a timely, courteous and professional manner, regardless of the emotional state and conduct of the caller.
- Search by multiple names, titles and categories to identify the proper person, department, procedure and on call schedule.
- Overhead page only for medical emergencies.
- Execute all Codes and Emergencies according to our system's procedures.
- Swap out pagers, update paper status and schedules as requested.
- To ensure accuracy and eliminate call backs, complete each transaction while the caller remains on the phone with you.
- Open and follow all notes in our Directory, Procedures, and On-Call Schedules before executing each request.
- To prevent wrong connections, read back to caller the first name, last name and department of the person you are about to connect to.
- Assist in training all new personnel.
- Maintain satisfactory attendance.
- Perform other clerical duties as necessary.
Required: MUST have taken and passed the specific job related Civil Service exam and be reachable on the appropriate Civil Service list.
This position may be designated 55 b/c and is subject to verification of applicant eligibility.
