JOB SUMMARY
:
The Administrative Assistant to the Dean of Students Office provides essential support to the daily operations of the office and the building in which it resides. The role is responsible for answering incoming calls, tracking and recording student attendance, maintaining the Deans' Office budgets, and managing weekly infraction, detention, and Restoration Plan records. The Administrative Assistant also offers direct support to the Dean and Assistant Deans of Students, contributing to the smooth functioning of the department and the overall mission of The Stony Brook School.

WORK SCHEDULE
: M-F 7:45am - 3:45pm

JOB CLASSIFICATION
: 10 - month Full-time, non-exempt

RATE
: $20-$24 per hour

CAPABILITIES REQUIRED :

The ideal candidate will be comfortable acknowledging and adhering to the basic tenets of the Christian Faith as stated in the Platform and Principles of The Stony Brook School. Three key qualities are essential to success in this role:

  • Flexibility, patience, and professionalism in navigating the varied needs and schedules of students and families.
  • Strong organizational and time-management skills with the ability to work independently and manage multiple priorities.
  • Excellent verbal and written communication skills with the ability to interact effectively with students, parents, faculty, staff, and visitors.
  • Proficiency with Google Workspace (Drive, Docs, Sheets, Slides) and Microsoft Word and Excel.
  • The ability to maintain confidentiality and exercise sound judgment when handling sensitive student information.

Minimum Requirements

  • Associate's degree required; bachelor's degree preferred.
  • Commitment to supporting the mission of The Stony Brook School and willingness to acknowledge and adhere to the basic tenets of the Christian Faith as stated in the Platform and Principles.
  • Basic proficiency with Google Workspace (Drive, Docs, Sheets, Slides) and Microsoft Word and Excel.

CAPABILITIES ILLUSTRATED :

The duties described below are intended to serve as guidelines, not limitations, for the responsibilities of the Administrative Assistant to the Dean of Students Office. Additional duties may be assigned as needed to support the school community.

  • Welcome students, faculty, parents and visitors to the office and assist with questions and concerns
  • Maintain accurate student attendance records for three of the six grades, including communicating with students, parents, faculty/staff to reconcile records
  • Manage infraction and detention tracking for grades 7-12
  • Support the Dean of Students, Assistant Dean of Students and Grade Level Deans in their implementation of Restoration Plans, Daily Accountability Plans and Technology Plans
  • Answer the Dean of Students Office phone
  • Manage appointments for the Dean and Assistant Deans of Students
  • Manage the budgets for the Dean and Assistant Deans of Students
  • Handle travel logistics for the Dean of Students and Assistant Deans of Students
  • Support the Dean of Students with All School Meeting and Assembly logistics
  • Greeting Staff for the Parent-Teacher Conferences and providing the name tags for parents
  • Locker Assignments for Memorial
  • Serve as a Formation Group Leader
  • Supervise Office Workjob students from 3:20 - 3:30pm
  • Ordering for the Faculty Room
  • Ordering the supplies for the classrooms in Memorial
  • Change the bulletin board seasonally
  • Memorial copier Faculty Liaison
