CEAS Undergraduate Program Coordinator
The College of Engineering and Applied Sciences (CEAS) at Stony Brook University is a world‑class professional school. The CEAS Undergraduate Student Office (USO) supports approximately 4,100 undergraduate students across thirteen degree programs, providing academic advising, student affairs services, and support from enrollment to graduation.
Required Qualifications- Bachelor’s Degree (foreign equivalent or higher).
- Two (2) years of progressively responsible administrative experience (student work experience may be considered).
- Highly proficient in word processing, spreadsheet management, electronic messaging, and internet applications.
- Master’s Degree in higher education, student affairs, social work, counseling or a related field.
- Experience working with students in an academic setting.
- Student academic advising experience with undergraduates, preferably in an engineering context.
- Experience coordinating graduate and/or undergraduate programs.
- Experience conducting training or delivering presentations.
- Experience coordinating programs and/or events.
- Coordinate all aspects of undergraduate programs within the assigned CEAS Department: administer program policies and procedures, registration, and advising.
- Serve as the primary liaison between students and the department, providing a single point of contact for university and departmental policies.
- Evaluate applications for declaration of majors, minors, and specializations within the assigned department.
- Oversee registration procedures, process student requests for course forms and override permissions, and resolve enrollment conflicts.
- Create and update student degree checklists, monitor degree progress, and process graduation clearances. Coordinate with International Academic Programs & Services on visa and immigration matters when necessary.
- Implement course substitutions in Degree Works as approved by the Undergraduate Review Committees.
- Process transfer course and credit evaluations; review and forward appropriate documentation to faculty.
- Generate reports on enrollment, admission to majors/minors, and course enrollments to support departmental decision making. Provide advisory input on course enrollment needs.
- Provide high‑quality, proactive, and timely advising to undergraduate CEAS students, focusing on the assigned department.
- Interpret policies and procedures, advising students on academic deadlines, petitions, standing, major entry requirements, degree requirements, and other academic matters.
- Develop strategies for student success individually or in group settings.
- Participate in transfer and freshman orientations and provide course recommendations during orientation.
- Adhere to local policies, procedures, and New York State licensing laws for professional programs.
- Coordinate Undergraduate Program Committee meetings, prepare agendas, and take minutes.
- Collaborate closely with the Undergraduate Program Director on student matters.
- Serve as a non‑voting member of the Undergraduate Curriculum Committees, reporting concerns and suggesting improvements.
- Engage in university‑wide programs and events (e.g., Engineering Ball, Convocation) and campus events such as admissions receptions and admitted student events.
- Plan and develop departmental and college events that build community and support academic success, including academic judiciary hearings as needed.
- Assist with the ABET accreditation process when required.
- Other duties or projects as assigned, consistent with rank and departmental mission.
This is a full‑time appointment. FLSA Non‑Exempt position, eligible for overtime provisions.
