Supervision Received:
Works under the direct supervision of the Deputy Clerk Supervisor in his or her department.
Supervision Exercised:
None, however, may fill in for Department Supervisor on a temporary basis.
Position Classifications:
The position of Deputy Clerk in the City of Stow is unclassified by the Stow Municipal Civil Service Commission, is non-exempt under the Fair Labor Standards Act and is not included in a collective bargaining agreement. All Deputy Clerks are at-will employees that serve at the pleasure of the Clerk of Courts.
Purpose:
Under supervision, performs a variety of specialized and standard clerical tasks associated with the standard operating policies and procedures of the Department. Files and prepares forms; receives, disburses and accurately accounts for public funds in the form of fines, court costs and fees; answers phones; issues certified mail; subpoenas and publications; dockets; operates office equipment; may train and/or supervise other employees on a temporary basis.
Functions
- Files, prepares and dockets court cases, dispositions and other documents and forms.
- Calculates fines and costs and verifies accuracy of calculations.
- Receives, disburses and accurately accounts for public funds in the form of fines, court costs and fees.
- Answers phones and general/specialized inquires of staff and the general public.
- Prepares, issues, and dockets certified mail and personal mail service, summons/notices.
- Prepares subpoenas and publications.
- Provides input into the development of or modification of work procedures.
- Aids Department Supervisor in training new or cross-training existing employees on tasks.
- Supervises other employees on a temporary basis in the absence of Department Supervisor.
- Regular, reliable, predictable, and punctual attendance is an essential function of the position.
- Perform other duties related to those of the position and/or resulting from the needs of the organization.
- Skilled in all Microsoft products
- General knowledge of public sector operations
- Ability to learn new software as needed
- Strong attention to detail and ability to work independently and properly prioritize tasks.
- Ability to work in stressful situations and/or with frequent interruptions.
- Skilled in verbal and written communication Ability to always maintain confidentiality
- Must have at least five (5) years of experience as a deputy clerk and/or comparable experience elsewhere.
- Must have a solid understanding and knowledge of court and clerk procedures, policies, and practices.
- Must have graduated from high school or have a GED equivalent.
- Must be able to interpret a variety of instructions and multi-task.
- Must be able to calculate fines and costs accurately.
- Must be able to count and balance cash accurately.
- Must possess the ability to perform tasks with a high degree of accuracy and under pressure.
- Must be able to handle stressful situations.
- Must have excellent organizational skills and attention to detail.
- Must be bondable.
- Must demonstrate skill in operating the listed tools and equipment.
- Must have the ability to establish and maintain effective working relationships and communicate effectively, both orally and in writing, with City employees and the general public.
- Must be able to maintain confidentiality and abide by all rules and regulations regarding sensitive and confidential information.
