General Description:The Board of Education Clerk & District Registration Specialist is responsible for providing comprehensive administrative and clerical support to the Stratford Board of Education while supporting the compliant operation of central student registration. This position acts as the official recorder of Board actions, maintains Board records, and ensures compliance with applicable state statutes, Freedom of Information Act (FOIA) guidelines, and Board policies.
Additionally, the role supports the administrative tasks for student enrollment and registration.
Board of Education Governance & Administrative Support
- Attend all regular, special, and committee Board of Education meetings (both in-person and virtual, as needed).
- Record, transcribe, and prepare accurate and timely official minutes of Board meetings for Board approval in accordance with district policy and legal requirements.
- Coordinate with the Superintendent's office to maintain an organized filing system for all official Board records, including agendas, minutes, resolutions, and policies.
- Prepare certified copies of Board documents and respond to public records requests through the Superintendent’s office.
- Collaborate with the Board Chairperson, Superintendent, and administrative team to coordinate Board operations and support committees with scheduling, notices, minutes, and follow-up tasks.
- Ensure timely filing of official documents such as ethics forms, committee appointments, and certifications as required.
- Handle confidential information with discretion and perform other governance-related duties as assigned by the Board Chairperson or Superintendent.
- Serve as the primary back-up for the Superintendent’s executive assistant during absences.
- Support the management of all aspects of the public school student registration process, including initial enrollment and student re‑registration.
- Ensure all required documentation—such as proof of residency, age verification, health forms, and legal guardianship—is collected and verified for enrollment according to district and state regulations.
- Assist in the oversight of daily administrative tasks and manage state and federal compliance reporting related to student registration and enrollment data.
All other duties as assigned by Supervisor or designee.
Qualifications:- High school diploma or equivalent required;
Associate’s or Bachelor’s degree preferred. - Prior experience in administrative, clerical, board support, or student enrollment work, preferably in a public school district or governmental setting.
- Working knowledge of the Connecticut Freedom of Information Act (FOIA), FERPA regulations, Board governance practices, and state education statutes (or ability to acquire this knowledge quickly).
- Familiarity with student information systems, central registration platforms, and Board management software (e.g., Board Docs).
- Exceptional attention to detail, organizational skills, time management, and ability to manage multiple deadlines accurately.
- Strong written and verbal communication skills to interact professionally with Board members, district staff, state agencies, and the public.
- Ability to exercise high levels of discretion with confidential student and governance records.
- Proficient in Microsoft Office, Google Workspace, and district administrative databases.
- Ability to work flexible hours, including required evening meetings.
- Full-time office setting with required evening and occasional weekend hours for Board meeting coverage.
- Work requires extended periods of sitting, keyboarding, and detailed note‑taking during meetings.
