Position Summary
The Quality Assurance & Documentation Specialist supports cultivation quality, compliance, and operational consistency by maintaining accurate batch records, managing finished-flower quality evaluations, reviewing product labels, inspecting incoming materials, and supporting controlled documentation.
This position works closely with Cultivation, Manufacturing, Compliance, and leadership to ensure products and processes meet internal quality standards and Connecticut Department of Consumer Protection requirements. The ideal candidate is highly organized, detail-oriented, comfortable working with regulated documentation, and able to identify and elevate quality concerns promptly.
Essential Duties and ResponsibilitiesBatch Records
- Create, review, maintain, and complete batch records for every harvest lot.
- Verify that required production details, quality checks, approvals, and supporting documentation are complete and accurate.
- Follow up with appropriate team members to resolve missing, incomplete, or inconsistent information.
- Ensure batch records are closed out within established timelines.
- Maintain records in an organized, inspection-ready format.
- Administer the company's TAMU finished-flower QA/QC grading program.
- Evaluate finished flower across six quality attributes:
- Jar appeal
- Fill-weight accuracy
- Flower sizing
- Trim quality
- Density and structure
- Moisture
- Accurately complete and retain all required grading forms.
- Identify recurring quality concerns, inconsistencies, and opportunities for improvement.
- Prepare weekly quality highlights and reporting for leadership.
- Communicate findings objectively and collaborate with operational teams on follow-up actions.
- Prepare and submit product and brand registration documentation to the appropriate state regulatory agency.
- Track submission status, approvals, renewal dates, and requested changes.
- Maintain current and accurate registration records.
- Coordinate with Compliance, Operations, and other departments to obtain required information and supporting materials
- Review product labels before release for regulatory compliance, completeness, and accuracy.
- Verify potency information, required warnings, batch and lot information, product details, and other required elements.
- Compare label information against approved product records and supporting documentation.

- Maintain approved label versions and associated records.
- Inspect incoming materials, including substrate, nutrients, packaging, labels, and production consumables.
- Compare received materials against purchase specifications, approved samples, and internal quality requirements.
- Document inspection results and maintain supporting records.
- Quarantine nonconforming or questionable materials when necessary.
- Promptly escalate damaged, incorrect, expired, or out-of-specification materials.
- Support the investigation and resolution of material-related quality concerns.
- Assist with drafting, reviewing, updating, and formatting standard operating procedures.
- Maintain version control for SOPs, batch record templates, forms, logs, and other controlled documents.
- Ensure outdated documents are removed from active use and replaced with current approved versions.
- Support the development and maintenance of training documentation as processes change.
- Help ensure employees have access to accurate, current, and understandable documentation.
- Maintain organized, accurate, and easily retrievable quality and operational records.
- Routinely review documentation for completeness and inspection readiness.
- Assist with internal audits, corrective-action follow-up, and document requests.
- Support Connecticut Department of Consumer Protection inspections and facility walkthroughs.
- Help ensure the department remains prepared for an inspection without requiring last-minute document collection or correction.
