OVERVIEW
This position works closely with the Executive Assistant, Manager of Events, Corporate Meeting Planners, and Senior Management. General and varied administrative support such as travel arrangements, events, and negotiating contracts. Must be committed to being courteous, analytical, proactive, and organized.
DUTIES & RESPONSIBILITIES- Assists Executive Assistant, Manager of Events & Corporate Meeting Planners with a variety of duties
- Perform general administrative, clerical, and executive support tasks to ensure organizational sustainability
- Maintain and build strong relationships with numerous vendors and venues
- Arrange travel and create itineraries for internal and external Partners
- Responsible for all sales recruiting travel, itineraries and on-site support
- Responsible for negotiating hotel, airline, and rental contracts
- Manage budgets and control company spending through effective cost analysis
- Assists in implementing corporate sponsor ships and handling company hospitality suites for various event
- Provide on-site event support, ensuring a high-quality experience for attendees, partners, and guests
- Coordinate events, rooming lists, transportation schedules, and attendee communication
Other duties may be assigned.
QUALIFICATIONS- 4-year college degree from an accredited university
- 2-3 years of prior professional event/travel experience
- Proven work experience as an Administrative Coordinator, Administrator or similar role
- Experience with Cvent a plus
- MUST be able to travel
- Strong Negotiation Skills
- Microsoft Office experience including Excel, Word, Outlook
- Strong organizational skills and attention to detail
- Problem Solving and time-management skills
- Excellent verbal, written communication and phone skills
- Ability to multi-task and prioritize assignments to meet time-sensitive goals and deadlines
- Capable of working in a fast-paced team environment
- Ability to self-direct with strong judgment
