The Export Coordinator reports to the Export Control Coordinator and is primarily responsible for managing international orders and achieving customer satisfaction while adhering to export compliance regulations. Responsibilities include entering purchase orders into Oracle ERP, following up with the manufacturing site/distribution center responsible for shipping the order, working with freight forwarders to plan the shipments, communicating with other Client regions on order status reports, and generating shipping documents.
An understanding of compliance guidelines, regulations, experience, and judgment are required for screening customers and products. The Export Coordinator ensures that all Client affiliate and direct customer needs are promptly addressed by responding to customers’ requests, orders, questions, and concerns in a timely and accurate manner, while exercising the highest level of service and quality.
- Determine whether a customer order can be shipped internationally per Client Export Compliance guidelines and practices, US government regulations, Product stewardship requirements, Financial Status, and any other export considerations.
- Utilize existing systems and tools to manage customer/country specific requirements to translate purchase order details to operating systems at each plant or sourcing location.
- Maintain Excel spreadsheet with open orders and update Client affiliate spreadsheets.
- Maintain complete digital record for each international shipment.
- Use Oracle and Trade Automation Systems to maintain the flow of Exports by entering booking requests, generating documents, communicating shipping details and delays to affiliates, obtaining certificate of analysis.
- Confirm Harmonized Tariff Schedule Numbers and license requirements as needed.
- Use working knowledge of export documentation requirements to review said documents for completeness and accuracy in accordance with established procedures and guidelines and resolve any issues.
- Continuous Learning – stay up to date on procedures, tools, and system upgrades.

- Communication skills, both written and spoken; includes the ability to communicate in a cross-cultural context with Our employees in other countries for whom English is their 2nd or 3rd language.
- Problem solving in a high-pressure environment.
- Ability to balance multiple urgent tasks.
- High School Diploma or Equivalent.
- Strong Acumen for IT Tools (Excel, PowerPoint, Word, Outlook etc.) Working knowledge of US export compliance.
- At least two (2) years of experience within export compliance customer service, with knowledge of business-to-business customer service and international order processing.
- Oracle ERP knowledge.
