Accounting Associate
JOB SUMMARY
Under general supervision, performs accounts payable and governmental accounting work associated with the preparation, maintenance, and processing of accounting records and financial transactions. Responsible for ensuring proper and timely payment on vendor accounts, inter‑City billings, contracted services, and preparation of associated accounting reports. Exercises independent judgment and initiative to maintain accurate and timely payments, and maintains and updates financial reports and records including quarterly transfer reports, account analysis, and transaction summaries.
RESPONSIBILITIES• Performs data entry tasks to enter, modify, verify, and maintain billing information; prepares statements and ensures accurate, timely billing.
• Receives payments, prepares deposits and receipts, and analyzes deposits from sites to reconcile registrations, receipts, and payments.
• Maintains vendor master files, establishes data entry criteria, and manages vendor relationships, responding to inquiries and resolving discrepancies.
• Creates monthly and quarterly reports via query functions with multiple data links and prepares invoices for billing.
• Reviews payment vouchers, balances, and proves edits; distributes department check registers and maintains financial reports and transmittals.
• May serve as agency timekeeper, reconcile financial data into reporting systems, and assist with audit preparation.
• May handle fraud investigation liaison duties, process storm water abatements, credits, and waivers, and update payroll reporting data.
MINIMUM QUALIFICATIONSConsiderable knowledge of bookkeeping and accounting principles applied to governmental accounting transactions; arithmetic skill. Working knowledge of state and local government fiscal regulations, policies and procedures, and office accounting methods. Proficient in personal computing, spreadsheet use, and other office machines.
Demonstrated ability to organize, process, and maintain financial records; prepare reports; balance figures; verify documents for accuracy; type accurately at good speed; use independent judgment, discretion, and initiative; and establish effective working relationships.
PREFERRED QUALIFICATIONSAssociate’s degree in accounting, bookkeeping or a closely related field and minimum five years of clerical or related accounting experience; or an equivalent combination of training and experience.

Employee must be willing to work disaster‑related assignments, including emergency shelter duty, in the event of a natural disaster or emergency.
