The Role

Aim of the role

The purpose of the role is to support the buying and commercial administration processes within the Commercial team while undertaking a Level 4 Apprenticeship
. The role will focus on developing procurement, supplier management, commercial administration, and systems knowledge through structured training and on-the-job learning.

Responsibilities and Duties

Buying & Commercial Support

  • Assist with the buying and procurement process under the guidance of the Commercial team
  • Support the preparation, issuing, monitoring, execution, and archiving of supplier documentation
  • Assist in maintaining accurate procurement records in line with company procedures
  • Respond to incoming supply chain queries and requests, escalating where appropriate
  • Attend sites to quantify materials and calculate value on site
  • Assist with take offs
  • Attend and support supplier meetings
  • Support tender submission appraisals

Systems, Data & Administration

  • Update and accurately maintain records and databases within in-house procurement systems
  • Enter data accurately onto internal systems, including procurement and financial platforms
  • Arrange for documentation to be scanned, uploaded, and archived electronically
  • Maintain both physical and electronic filing systems in line with document control requirements
  • Receive, prioritise, and distribute incoming procurement post, identifying urgent or sensitive information.

Reporting & Stakeholder Support

  • Assist in preparing and issuing weekly reports for site-based staff
  • Support communication between the Commercial team, suppliers, site teams, and internal departments
  • Provide administrative support to ensure smooth commercial and procurement operations
  • Assist with initiating the Supplier Finance Scheme by liaising with suppliers
  • Support communication with the Bank and Accounts Department to help progress and finalise procedures
  • Maintain accurate records relating to supplier finance processes
  • Manage and work through problem invoice – any invoicing queries that are raised for various reasons that need PO amendments etc.
  • Actively participate in and complete all elements of the Level 4 Apprenticeship programme, including off-the-job training
  • Apply learning from the apprenticeship to daily procurement and commercial tasks
  • Seek feedback and demonstrate continuous improvement in commercial awareness, accuracy, and efficiency
  • Undertake ad-hoc tasks as required to support learning and business needs
About You

Essential (Entry / Developing Level)

  • Good IT skills, including Microsoft Excel, Word, and Office applications
  • Ability to work accurately with data and maintain detailed records
  • Strong organisational and time management skills
  • Effective communication skills, both written and verbal
  • Professional telephone manner
  • Ability to work as part of a team while developing confidence to work independently
  • Honest, reliable, and able to work under pressure
  • Adaptable, conscientious, and willing to take ownership of tasks
  • Commitment to quality, accuracy, and continuous improvement.
  • Understanding of construction or supply chain processes
  • Enrolment on (or willingness to enrol on) a Construction Quantity Surveying Technical Level 4 Apprenticeship
  • Commitment to completing off-the-job training and assessment requirements
  • Willingness to develop commercial, procurement, and professional skills over the apprenticeship period
