Summary
Provide general office support with a variety of clerical activities and related tasks. Responsible for answering incoming calls, directing calls to appropriate departments and employees, mail distribution, flow of correspondence, requisition of supplies, when necessary, as well as additional clerical duties.

- Identify and participate in process improvement initiatives that improve the customer experience, enhance workflow, and/or improve the work environment.
- Answer telephones or switchboard during scheduled shift.
- Ensure phone calls are redirected to appropriate employee or department.
- Transfer callers to appropriate voicemail when employee is unavailable.
- Provide callers with information about the facility, such as address, directions, fax numbers, and facility/Company website and other related information.
- Receive, sort and forward incoming mail.
- Coordinate pickup and delivery of express mail services (Fed Ex, UPS, etc.).
- Assist in ordering, receiving, stocking and distribution of office supplies.
- Assist with other related clerical duties such as copying, faxing, filing, etc.
- Other special projects and duties as assigned including transportation coordination for residents.
- Answer and manage telephone traffic to ensure efficient communication and protect confidentiality.
- High school diploma or GED required, or equivalent work experience.
- Six months to one year customer service experience or related office/clerical duties.
- Excellent phone etiquette.
- Effective verbal and written English communication skills.
- Basic to intermediate skills in Microsoft Word, Excel, PowerPoint, Outlook, internet and intranet navigation.
- Highest level of professionalism and confidentiality.
- Ability to communicate at all levels of organization and work well within a team environment.
- Customer‑service oriented and able to work well under pressure.
- Strong attention to detail and accuracy; excellent organizational skills; ability to prioritize, coordinate, and maintain multiple projects.
- Strong analytical and problem‑solving skills.
- Ability to work with minimal supervision, take initiative and make independent decisions.
- Adaptable to change and able to work independently with vendors.
- Approachable, flexible, and personal integrity.
- Moderate physical activity: handle average‑weight objects up to 25 pounds (boxes of paper, etc.).
- Standing and/or walking for more than one hour per day.
- Sitting for more than two hours at a time.
- Consistent computer work with repetitive typing and focused attention on the screen.
