Position Summary:
We are seeking a dedicated and detail-oriented Surgery Scheduler to join our practice. In this role, you will work closely with patients, physicians, clinical staff, and surgical facilities to coordinate surgeries and ensure all necessary arrangements are completed accurately and on time.
The ideal candidate is organized, compassionate, and capable of managing multiple priorities in a fast-paced environment. This position requires strong communication skills and close attention to scheduling details, insurance requirements, and preoperative preparations.
What You’ll Be Doing:
Schedule surgeries and procedures according to physician orders, facility availability, and patient needs.
Coordinate surgery dates, operating room schedules, and schedule changes with physicians and surgical facilities.
Prepare and submit accurate surgery posting sheets and required documentation.
Communicate surgery dates, locations, preoperative requirements, and physician-approved instructions to patients.
Coordinate preoperative appointments, medical clearances, testing, and postoperative visits.
Verify insurance coverage and coordinate prior authorizations with insurance providers and the authorization team.
Track outstanding clearances, authorizations, and documentation to ensure requirements are completed before surgery.
Coordinate special equipment, implants, and vendor representatives as directed by the physician.
Work with the billing team to coordinate surgical estimates and communicate payment arrangements to patients.
Manage surgery cancellations and rescheduling, keeping patients and all involved teams informed.
Handle incoming calls, voicemails, emails, and patient correspondence in a timely and professional manner.
Maintain accurate scheduling records and document patient communications in the EMR.
Follow practice policies, facility requirements, and HIPAA guidelines.
Perform other job-related duties as assigned.
What We’re Looking For:
Previous experience in surgery scheduling or a medical office setting preferred.
Bonus:
Experience in an orthopedic practice.Familiarity with insurance verification, referrals, and prior authorization processes preferred.
Strong communication, organizational, and multitasking skills.
Excellent attention to detail and the ability to manage deadlines and schedule changes.
Ability to remain professional and calm in confidential or high-pressure situations.
A compassionate, patient-focused approach and the ability to work effectively with a team.
Proficiency in Microsoft Office (Outlook, Word, Excel).
Bonus:
