Business Administration, Office Administrator/ Coordinator
The Corporate Administrator protects the business by keeping risk, compliance, and administrative obligations organized and on schedule. This role manages insurance and bonding coordination, claims tracking, contract administration, corporate registrations, legal matter intake, and select corporate cost center oversight.
Working cross-functionally with Finance, Operations, Sales, HR, Accounting, and external partners, this position ensures documentation is current, deadlines are met, and issues are driven to resolution.
Location: Sugar Land, TX 77478
Pay Range: $70,000 - $80,000
Responsibilities Insurance, Bonding & Claims- Manage Certificate of Insurance (COI) requests and endorsements
- Coordinate bond requests and track bonding capacity and releases
- Maintain insurance policies and lead annual renewals
- Report and track claims, including documentation and status updates
- Coordinate claim-related payments with Accounting
- Track and complete entity registrations and required state filings
- Manage registered agent relationship
- Monitor and route state and agency notices
- Maintain organized, audit‑ready filing records
- Coordinate intake and tracking of customer and vendor contracts, SOWs, and amendments
- Route non‑standard terms for review and track approvals
- Maintain contract repository and renewal tracking
- Track legal matters, disputes, and official notices
- Maintain legal log with deadlines and status updates
- Coordinate documentation and ensure timely responses
- Track corporate‑managed spend and support budget reporting
- Initiate purchase orders and coordinate vendor documentation
- Support system access tracking, software renewals, and quarterly access reviews
- Provide day‑to‑day administrative support to the CFO and corporate team
- 3+ years in administrative, contracts, insurance coordination, legal admin, or operations support roles
- Strong organizational and follow‑up skills across multiple workflows
- Experience with COIs, bonding, claims, or contract coordination preferred
- Comfortable with basic budgeting and financial concepts
- Proficient in Microsoft 365 (Excel, SharePoint, Teams)
- Organized and detail‑oriented with strong ownership mindset
- Clear communicator able to coordinate across departments and external partners
- Able to handle sensitive information and maintain confidentiality
- Practical problem‑solver who can keep work moving without constant escalation
