As an Executive Administrative Assistant in U.S. Private Bank, you will serve as a trusted partner to the Market Manager while also providing broader office support to help ensure the Summit location operates smoothly. You will represent the office with professionalism and discretion, anticipate needs before they surface, and drive outcomes beyond routine administrative tasks - balancing competing priorities with composure, precision, and urgency.

** Job responsibilities*
* - Serve as a trusted partner to the Market Manager, anticipating needs, prioritizing competing demands, and ensuring follow-through on time-sensitive items

- Maintain complex, multi-layered calendars; proactively resolve conflicts and protect time for client-critical engagements

- Coordinate client meetings end-to-end, including preparation, logistics, materials readiness, and post-meeting follow-up/action tracking

- Manage a high volume of calls and requests with sound judgment, discretion, and a consistently professional client/stakeholder experience

- Draft and deliver polished, executive-ready communications to internal stakeholders and clients with accuracy and confidentiality

- Arrange complex domestic travel and manage last-minute changes; confirm itineraries, logistics, and supporting details to ensure leaders are fully prepared

- Plan and execute internal and external meetings/events (room reservations, catering, RSVPs, attendee communications, and day-of support)

- Provide Summit office support, partnering with other assistants to ensure coverage, continuity, and smooth day-to-day operations

- Process invoices, T&E expense claims, and sponsorship requests in accordance with policy and required timelines; serve as a go-to resource for procedures

- Support onboarding and offboarding, coordinating equipment setup and system access with internal partners

- Maintain team documents (organizational charts, executive bios, distribution lists) and assist with presentations/spreadsheets, including printing and binding for client meetings

** Required qualifications, capabilities, and skills*
* - 5 years of administrative experience supporting senior leaders at the Managing Director level (or equivalent)

- Experience in a client-facing environment, engaging professionally with external clients and senior internal stakeholders

- Demonstrated discretion and sound judgment handling confidential information and sensitive matters

- Proven ability to manage complex calendars, prioritize client-critical commitments, and resolve conflicts proactively

- Strong written communication skills, including drafting executive-ready emails and messages with a high degree of polish

- Strong verbal communication skills and professional phone presence; ability to triage and route requests effectively

- Advanced organizational skills with the ability to manage multiple high-priority tasks and shifting deadlines

- High attention to detail and consistent quality control across deliverables

- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

- Proficiency with Concur (or comparable expense/travel tools) and experience processing expenses/invoices in compliance with policy

- Proactive, ownership mindset with the ability to operate independently and escalate appropriately

** Preferred qualifications, capabilities, and skills*
* - Administrative experience within private banking, wealth management, or financial services

- Experience providing office support in addition to executive support (e.g., coverage coordination, office logistics)

- Experience coordinating high-touch client meetings and client events from planning through execution

- Strong proficiency creating and editing PowerPoint presentations and Excel-based materials for client meetings

- Familiarity with expense/invoice workflows, sponsorship processing, and related controls expectations

- College degree
