The Permit Coordinator Supervisor oversees permitting operations across multiple branches and jurisdictions, ensuring timely, code-compliant submissions and approvals. This role leads a team of Permit Coordinators, providing daily guidance, coaching, and accountability to meet key performance indicators (KPIs). The Supervisor also manages recruiting, onboarding, and professional development while building standardized processes, training materials, and cross-training programs to support operational excellence.

The position requires strong organizational and analytical skills to monitor permitting metrics, identify inefficiencies, and implement process improvements. Acting as a liaison between internal departments, regional leadership, and local jurisdictions, the Supervisor resolves permitting blockers, supports new product rollouts, and ensures seamless coordination across all permitting functions.

Duties and Responsibilities Team Leadership & Development Supervise and provide daily direction to Permit Coordinators across multiple branches.

Conduct stand-up meetings to review team priorities, performance, and blockers.

Oversee recruitment, interviewing, onboarding, and retention efforts to build a strong, engaged team.

Develop training guides, cross-training resources, and refresher training sessions to ensure consistency and quality.

Mentor staff to prepare them for advancement and future leadership roles.

Permitting Operations Ensure timely and accurate submission of permit applications in compliance with jurisdictional and ICC code requirements.

Track permit status across all branches and jurisdictions, ensuring accuracy in reporting.

Resolve escalations, blockers, and conflicts with internal teams or external agencies.

Maintain awareness of code updates and jurisdictional changes.

Partner with internal departments (engineering, CAD, sales, service, branch leadership) to ensure projects move forward without permitting delays.

Process & Reporting Establish and enforce standardized permitting procedures across all branches.

Develop, implement, and maintain Standard Operating Procedures (SOPs), Rules of Engagement (ROEs), and jurisdictional requirement sheets.

Monitor and validate permitting metrics, list boxes, and data tracking tools to ensure accurate reporting.

Prepare and present weekly, monthly, and annual reports to leadership, analyzing permitting trends and highlighting process improvements.

Collaboration & Communication Lead coordination meetings with engineering and CAD teams to address permitting gaps.

Participate in leadership calls to share permitting updates and report blockers.

Develop clear communication scripts and resources for interactions with customers, counties, and internal teams.

Support rollout of new products, processes, and initiatives across all permitting functions.

Compliance & Administration Maintain accurate digital filing systems for permitting records, receipts, and compliance documents.

Process centralized permitting payments and maintain financial documentation.

Conduct branch visits to oversee team performance and ensure compliance with organizational standards.

Lead annual performance and merit reviews, submitting bonus documentation as needed.
