Position Summary
Records Office Specialist (Administrative Specialist II) at University of South Carolina Upstate, Spartanburg, SC. Supports data management, student records, veterans’ benefits, enrollment, and compliance activities.
Responsibilities- Assist the Schedule Coordinator with development of undergraduate and graduate course schedules across all USC Upstate academic sites, including data entry.
- Enter change‑of‑major and minor requests in Banner.
- Assist the Veterans Coordinator with managing enrollment records, integrating digital records for audits, monitoring regulatory changes, managing beneficiary course schedule changes, and running concise student schedules and related VA weekly reports.
- Certify veteran and military‑affiliated students for federal VA tuition benefits.
- Create and register students for independent studies, internships, field studies, one‑time courses, and non‑scheduled sections.
- Assist with citizenship verifications processing.
- Assist with registration for dual enrollment, Scholars Academy, and Teacher Cadets.
- Maintain accurate communications and student records in compliance with FERPA, USC System, state, and federal guidelines.
- Provide communications support to students, faculty, and administrators.
- Assist with transcript, verification, and record services; check and reply to records‑office email account.
- Perform other duties as assigned by supervisor.
- High school diploma or GED with two years experience, or bachelor’s degree; successful background check required.
- Work experience in higher education or school setting.
- Banner experience.
- Ability to appropriately apply FERPA, USC System, state, and federal guidelines.
- Concurrent task management, reading, typing, decision making, data entry, and handling confidential information.
- Proficiency with Word, Microsoft Outlook, and Banner.
Temporary employees expected to work at least 30 hours per week receive health and life insurance, flexible spending accounts, and retirement programs through the State of SC and Public Employee Benefit Authority (PEBA).
Position AttributesEmployees in Safety‑Sensitive or Security‑Sensitive positions are subject to pre‑employment and post‑employment drug testing in accordance with University policy HR 1.95. The position does not require a CDL and has no hazardous weather category.
