Receptionist Position

We are looking for a detail-oriented Receptionist to support front desk operations for a food processing company in Sun Prairie, Wisconsin. This long-term contract position is ideal for someone who enjoys creating a welcoming experience for visitors while keeping administrative and communication tasks organized and on schedule. The role includes customer-facing support, shipping coordination, document handling, and general office assistance in a manufacturing office environment.

Responsibilities:

  • Welcome visitors and walk-in customers, notify staff of arrivals, and maintain an organized and efficient front desk flow throughout the day.
  • Manage inbound calls on a multi-line phone system, address routine inquiries, and route customer concerns to the appropriate team members for prompt follow-up.
  • Review and process new customer credit application paperwork with accuracy and attention to detail.
  • Receive incoming mail and packages, prepare outbound shipments through approved carriers, and collect mail from the post office box as needed.
  • Provide administrative support such as preparing documents, entering information, and recording notes for scheduled meetings, including Monday morning discussions.
  • Assist with payroll-related distribution tasks and help coordinate uniform ordering and shipment for employees.
  • Complete daily data download activities, support weekly ingredient inventory reporting, and maintain organized records for operational use.
  • Scan, file, and maintain bills of lading and other shipping documentation for the Shipping Department.
  • Identify practical improvements to front desk procedures, equipment use, and administrative processes while taking on additional duties as business needs change.
